Position Summary

The Healthcare Customer Service Associate plays a vital role in executing a range of front-office responsibilities, including patient check-in and check-out, collection of payments at the time of service, charge reconciliation, and basic pre-authorization duties. This position is essential in providing support and guidance to patients, office personnel, physicians, advanced practice providers, and physical therapists, all while representing the practice with professionalism and courtesy.

Key Responsibilities
  1. Warmly greets each patient upon arrival, ensuring a welcoming atmosphere.
  2. Facilitates the patient check-in/check-out process, verifying and updating patient records as necessary.
  3. Collects co-payments and outstanding balances during the check-in process, ensuring accurate daily payment reconciliation.
  4. Handles incoming calls, both internal and external, with professionalism.
  5. Utilizes electronic health records for effective communication with clinical staff.
  6. Enters patient information into the practice management system from various sources and schedules appointments according to clinical protocols.
  7. Coordinates outside diagnostic testing and secures necessary authorizations as directed.
  8. Manages pre-authorization tasks, ensuring ongoing authorizations are maintained as required.
  9. Processes incoming faxes and documents, including disability forms and medical record requests.
  10. Scans and uploads medical documentation into the electronic health record system.
  11. Conducts insurance verifications to ensure accurate billing for patient encounters.
  12. Maintains open lines of communication with clinical staff to minimize disruptions to providers' schedules.
  13. Reviews and reconciles charge slips against schedules to ensure proper billing.
  14. Prepares daily charges and payments for transfer to the appropriate office.
  15. Ensures the waiting area is tidy and notifies facilities of any needs to enhance patient experience.
Qualifications
  • High school diploma or equivalent.
  • Prior experience in a medical office or healthcare environment is advantageous.
  • Exceptional customer service skills.
  • Able to work independently and collaboratively within a team.
  • Strong communication and interpersonal skills, capable of interacting professionally with all stakeholders.
  • Proficient in computer applications, including Microsoft Office.
  • Familiarity with medical records is beneficial.
  • Detail-oriented with the ability to complete tasks accurately and efficiently.
