Position Overview:

The Healthcare Office Assistant undertakes a variety of administrative and clerical tasks while delivering exceptional customer service and maintaining effective communication with patients, families, healthcare providers, and external organizations.

Key Responsibilities Include:

  • Managing and confirming patient appointments using the Practice Management System when available.
  • Executing assigned duties, which may involve sending and receiving patient records, scheduling medical procedures and tests, obtaining pre-certification for services, verifying insurance details, and maintaining accurate patient charts.
  • Handling phone calls, relaying messages, and providing necessary information.
  • Organizing files and assisting in the development of office systems.
  • Ordering and managing office supplies.
  • Operating relevant office equipment.
  • Participating in meetings, taking minutes, and distributing them as needed.
  • Adhering to organizational responsibilities, including respecting patient rights and responding appropriately to emergencies.
  • Following infection control standards, including hand hygiene protocols.
  • Utilizing effective decision-making processes, prioritizing patient care and operational issues.
  • Collaborating and communicating with the healthcare team.
  • Completing annual mandatory training, including Occupational Health Requirements.
  • Attending required in-service training and staff meetings.
  • Implementing cost containment practices.
  • Preparing and maintaining various statistical reports as needed.
  • Complying with all hospital policies and procedures, including dress code and behavioral standards.

Education & Experience Requirements:

  • High school diploma or equivalent (GED) is required.
  • Prior experience in patient relations is essential.
  • General office experience is required.
  • Experience in a physician practice setting is preferred.
  • Familiarity with basic medical terminology, electronic scheduling, and electronic medical records is advantageous.

  • Exhibits excellent telephone etiquette and communication skills.
  • Maintains a courteous, cooperative, and professional demeanor at all times.
  • Remains composed under pressure.

Physical/Mental Demands & Work Environment:

  • May encounter chemicals necessary for performing tasks; information on hazardous chemicals is available through the hospital's Safety Data Sheet database.
  • Ability to use a computer for extended periods.
  • Occasional lifting or moving of 15 to 20 pounds.
  • Frequent movement throughout the department during the day.
  • Ability to sit for prolonged periods.
  • Ability to respond to frequent calls.
