Research Enrollment Specialist

Department: Oncology

Location: Baylor University Medical Center

Job Summary

The Research Enrollment Specialist plays a vital role in supporting clinical research projects within the Oncology department. This position involves coordinating study protocols, engaging with research participants, and ensuring compliance with regulatory guidelines.

Essential Functions
  • Coordinate non-therapeutic clinical research protocols under the guidance of principal investigators and supervisors, adhering to regulatory laws and institutional guidelines.
  • Communicate effectively with research participants through phone calls, mailings, and online platforms to maintain high participant retention rates.
  • Develop and nurture relationships with targeted research communities.
  • Collaborate with the Marketing team on research advertisements and promotional materials.
  • Screen potential research participants by reviewing inclusion and exclusion criteria.
  • Enter new participant data into databases, update existing records, obtain informed consent forms, and meticulously document the consent process.
  • Ensure strict adherence to internal policies, procedures, and standards set by JCAHO, federal, state, and local governments. Independently submit documentation to the Institutional Review Board (IRB) and manage the approval process.
  • Actively participate in research meetings, stay informed through assigned literature reviews, and present project updates at the request of the Principal Investigator (PI).
  • Assist principal investigators in initiating research projects. Partner with PIs to establish data collection procedures and protocols, ensuring compliance with regulations and submission requirements for ongoing research.
  • Support research physicians in developing study proposals and ensure appropriate billing and charging mechanisms are in place for research-related expenses.
  • Collaborate with research staff to ensure the timely receipt of necessary study supplies before and throughout the research period.
  • Review data for completeness and quality control, preparing it for further analysis. Work with biostatistical teams as needed to develop projects.

  • Excellent written and verbal communication skills.
  • Proficiency in computer applications, including Microsoft Office Suite (Excel and PowerPoint), databases, and research software.
  • Ability to build and maintain strong working relationships with colleagues, researchers, and participants.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
  • Phlebotomy skills are preferred.
