Position: Property Management Assistant
Overview:
The Property Management Assistant (PMA) will be instrumental in supporting the Property Management Team in overseeing and operating industrial real estate assets, particularly warehouses. Collaborating closely with the Director of Property Management, Property Managers, and the Operations Coordinator, the PMA will engage in a variety of tasks, including regular property inspections, managing daily maintenance and repair activities, liaising with tenants and service providers, and ensuring adherence to lease agreements and vendor contracts.
F. GREEK DEVELOPMENT, INC is looking for a driven and enthusiastic individual with exceptional customer service abilities and a knack for building relationships. This entry-level role presents a valuable opportunity for recent graduates or those at the junior level who are eager to gain insights into property management while working alongside seasoned Property Managers in a vibrant and fast-paced team setting. Key Responsibilities:
- Conduct regular property inspections and document observations.
- Coordinate and generate work orders for necessary maintenance and repairs, collaborating with the Facility Manager and/or establishing service contracts.
- Assist in tenant move-in and move-out inspections, ensuring all tasks are completed prior to lease commencement or conclusion.
- Submit relevant documentation to obtain Certificates of Occupancy from local authorities.
- Support financial operations, including processing vendor invoices and estimating costs. Gain insights into how maintenance, repairs, and enhancements are integrated into a property's operating and capital expenditure budgets.
- Address tenant inquiries and concerns promptly and professionally to cultivate positive relationships.
- Collect new and renewal certificates of insurance from tenants and vendors, ensuring compliance with lease agreements and service contracts.
- Gather necessary onboarding documentation from new contractors, including W9 forms and Certificates of Insurance.
- Understand and interpret leases, amendments, and related documents.
- Assist in conducting property tours and learning to create virtual documentation of tenant spaces as required.
- Engage in training sessions and hands-on experiences to enhance knowledge of building systems, including fire alarm panels, fire pumps, sprinkler systems, thermostats, electrical panels, and HVAC systems.
- Perform various administrative tasks as needed or requested.
Qualifications:
- Bachelor's degree in business administration, engineering, real estate, or a related field is preferred.
- Experience ranging from 0 to 3 years.
- A strong desire to learn and develop within the property management sector.
- Demonstrated organizational skills with the ability to manage multiple tasks, prioritize effectively, and ensure timely completion of assignments.
- Strong analytical skills with the capability to identify problems and implement effective solutions.
- Ability to work independently as well as collaboratively within a team environment.
- Excellent written and verbal communication skills, with the ability to interact professionally with tenants, clients, vendors, and team members.
- A willingness to pursue educational opportunities related to commercial real estate organizations and affiliations.
- Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook.
