Overview:

The Property Management Assistant (PMA) will be instrumental in supporting the Property Management Team in overseeing and operating industrial real estate assets, particularly warehouses. Collaborating closely with the Director of Property Management, Property Managers, and the Operations Coordinator, the PMA will engage in a variety of tasks, including regular property inspections, managing daily maintenance and repair activities, liaising with tenants and service providers, and ensuring adherence to lease agreements and vendor contracts.

F. GREEK DEVELOPMENT, INC is looking for a driven and enthusiastic individual with strong customer service abilities and the capacity to build relationships. This entry-level role presents a valuable opportunity for recent graduates or those at the junior level seeking to gain insights into property management within a dynamic and proactive team environment. Key Responsibilities:

  • Conduct regular property inspections and document observations.
  • Coordinate and generate work orders for necessary maintenance and repairs through input from the Facility Manager and/or creation of service agreements.
  • Assist with tenant move-in or move-out inspections and ensure that all tasks are completed prior to the start or end of leases.
  • Submit relevant documentation to local authorities to secure Certificates of Occupancy.
  • Support financial processes such as vendor invoice management and cost estimation. Understand how maintenance, repairs, and upgrades are factored into a property's operating and capital budgets.
  • Address tenant inquiries and concerns promptly and professionally to cultivate positive relationships.
  • Acquire new and renewal certificates of insurance from tenants and vendors; verify to ensure adequate coverage and compliance with lease terms and service agreements.
  • Gather necessary onboarding documentation from new contractors, including W9 forms, Certificates of Insurance, and Indemnification Agreements.
  • Review and comprehend leases, amendments, and related documents.
  • Assist in conducting property tours and learning to create virtual documentation of tenant spaces as required.
  • Engage in training sessions and hands-on experiences to enhance knowledge of building systems such as fire alarm panels, fire pumps, sprinkler systems, thermostats, electrical panels, and HVAC systems.
  • Perform various administrative or procedural tasks as needed or requested.

Qualifications:

  • Bachelor's degree in business administration, engineering, real estate, or a related field is preferred.
  • Experience ranging from 0 to 3 years.
  • Willingness to learn and advance in the property management sector.
  • Demonstrated organizational skills with the ability to multitask, prioritize, and ensure timely completion of tasks and projects.
  • Strong analytical skills with the ability to identify root causes of issues and implement effective solutions.
  • Ability to work independently as well as collaboratively within a team setting.
  • Excellent written and verbal communication skills, with the ability to interact professionally with tenants, clients, vendors, and team members.
  • A commitment to participating in educational courses related to commercial real estate organizations and affiliations.
  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook.
