Role Summary:

The Assistant Property Manager (APM) is essential in supporting the Property Management Team in overseeing and operating industrial real estate assets, specifically warehouses. Key Responsibilities:

  • Engage in regular property inspections and document observations.
  • Facilitate and generate work orders for necessary maintenance and repairs through input from the Facility Manager or by establishing service contracts.
  • Assist in conducting tenant move-in or move-out inspections and ensure that all work is completed prior to the start or end of leases.
  • Prepare and submit relevant documentation to local authorities to secure Certificates of Occupancy.
  • Support financial operations such as processing vendor invoices and estimating costs. Gain understanding of how maintenance, repairs, and enhancements fit into a property's operational and capital budget.
  • Address tenant inquiries and concerns promptly and professionally to cultivate positive relationships.
  • Collect new and renewal certificates of insurance from tenants and vendors; verify to ensure compliance with lease agreements and service contracts.
  • Gather necessary onboarding documentation from new contractors, including W9 forms, Certificates of Insurance, and Indemnification Agreements.
  • Comprehend and interpret leases, amendments, and related documents.
  • Assist in conducting property tours and learn to create virtual documentation of tenant spaces as required.
  • Participate in training sessions and hands-on experiences to enhance knowledge of building systems such as fire alarm panels, fire pumps, sprinkler systems, thermostats, electric panels, and circuit breakers, as well as HVAC systems and utility shut-off valves.
  • Perform various administrative or procedural tasks as needed or requested.

Qualifications:

  • Bachelor's degree in business administration, engineering, real estate, or a related field is preferred.
  • Experience ranging from 0 to 3 years.
  • Desire to learn and advance in the property management sector.
  • Proven organizational skills with the ability to multitask, prioritize, and ensure timely completion of tasks and projects.
  • Strong analytical skills with the capability to identify root causes of issues and implement effective solutions.
  • Ability to work independently as well as collaboratively within a team setting.
  • Excellent written and verbal communication skills, with the ability to interact professionally with tenants, clients, vendors, and team members.
  • A commitment to participating in educational courses for related commercial real estate organizations and affiliations.
  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook.
