Job Summary:

This position is to function as a member of the administration team and complete assigned daily front-end tasks to ensure smooth day-to-day operations in the healthcare practice.

Key Responsibilities:

  • Answer calls and route telephone calls appropriately; take messages, follow through with each message, ensuring that the appropriate healthcare provider or staff member receives the information.
  • Provide routine information to callers and give only authorized medical advice from a healthcare provider.
  • Provide a high level of customer service to all new and existing patients of the practice.
  • Create patient cases and document telephone calls and messages into the electronic medical record.
  • Schedule patient appointments and appropriate testing for patients as requested.
  • Register patients in the electronic medical record and verify information including demographics and obtain accurate health insurance information.
  • Conduct eligibility checks to ensure insurance is reflected accurately.
  • Collect required insurance co-pays from patients including any prior balances.
  • Follow scheduling notes and direct schedules patient visits in other healthcare practices as advised.
  • Perform pre-visit planning daily for all upcoming scheduled appointments to include running insurance eligibility.
  • Responsible to obtain prior authorizations and/or insurance referrals as per practice need.
  • Perform outreach to select patient groups as directed for patient care and quality measurement/guidelines.
  • Schedule specialty appointments/testing as required.
  • Perform work in electronic medical record buckets as directed and per practice need.
  • Responsible to inform manager of administrative supply needs or assist with ordering.
  • Follow up with healthcare providers on missing slips and create claims in the electronic medical record.
  • Responsible to work assigned revenue cycle buckets as directed.
  • Must be able to work independently with little supervision.
  • Adhere to healthcare policies.
  • Always use discretion to ensure patient confidentiality.

Qualifications:

  • Strong customer service excellence expected.
  • Excellent communication and interpersonal skills required.
  • High School Diploma or equivalent required.
  • One to three years as a medical secretary preferred.
  • Experience with electronic medical records strongly preferred.
  • Experience with Microsoft Office, Word, Excel, and Outlook preferred.
