Position Overview:
As a Facilities and Space Management Specialist, you will operate under the guidance of the Executive Director and Project Manager, playing a pivotal role in the coordination of space and facilities for the Department of Medicine.

Key Responsibilities:
In this capacity, you will:

  • Oversee and manage space-related projects and allocations in alignment with departmental and institutional policies.
  • Coordinate renovations and relocations of office and laboratory spaces.
  • Manage data entry for all departmental spaces into the designated inventory databases.
  • Provide training to management and administrative personnel on the space inventory system.

Technical Support:
You will also deliver audiovisual technical assistance and training to staff and faculty, covering a wide array of audio/video equipment.

Equipment Expertise:
Offer proficiency in the operation, troubleshooting, preventative maintenance, and user training of multimedia equipment utilized within the Department of Medicine.

Administrative Duties:
Additional responsibilities will include providing administrative support to various divisions, units, and programs within the department, including purchasing and reimbursement tasks as necessary.

Special Projects:
Engage in special projects as required.

Compensation:
Salary offers are based on various factors including qualifications, experience, and equity considerations. The hourly salary range for this position is competitive.

Required Qualifications:
To be successful in this role, candidates should possess:

  • A working knowledge of the space and equipment inventory system, along with relevant policies and procedures.
  • Familiarity with institutional policies, procedures, and forms related to accounting, travel, purchasing, and material management.
  • Experience with poster printing, audiovisual systems, and video editing software.
  • Strong interpersonal skills to communicate effectively with faculty, staff, and external entities.
  • Ability to organize multiple projects and prioritize tasks to meet deadlines amidst changing workloads.
  • Proficiency in Microsoft Word, Excel, and Outlook, as well as familiarity with PC and Mac operating systems.
  • Experience collaborating with various internal offices and external vendors.
