Position Overview

The program coordinator will act as the primary administrative contact for a diverse array of programs and activities, contributing to collaborative projects as needed to bolster the research and outreach initiatives of the Korbel School and its faculty.

The coordinator will collaborate closely with the center and institute Directors, affiliated faculty, and other personnel to ensure that the operational and logistical requirements of ICRS and its projects are fulfilled. Responsibilities include overseeing research project implementation, managing speaker series, conferences, and workshops, engaging with both internal and external stakeholders, and handling budgeting tasks. The program coordinator will also work with other research center support staff to coordinate events, communications, publications, and outreach efforts across various research centers and institutes, integrating research-related activities into the School's broader curricular, co-curricular, and public engagement initiatives.

Key Responsibilities

  • Act as the main support contact for the center and institute, its faculty director, affiliated faculty, and external collaborators.
  • Assist with all projects, events, communications, grants, and financial matters, while facilitating coordination among thematic programs.
  • Coordinate and support each team, advisory committees, and student and practitioner-in-residence programs.
  • Plan and execute events, workshops, and meetings with various stakeholders, including civil society groups, government officials, and academics. Responsibilities include outreach to speakers, managing event budgets, and overseeing all logistics and publicity.
  • Contribute to both external and internal communications by drafting reports, event announcements, and newsletters; regularly updating the website and managing social media; maintaining listservs; and responding to inquiries.
  • Monitor budgets, process invoices, reconcile expenses, and liaise with the Business Office.
  • Manage and track grants and contracts using the designated Grants and Contracts Suite.
  • Oversee research projects and collaborate with principal investigators to ensure timely and accurate reporting to sponsors.
  • Supervise student employees and manage their timecards.
  • Engage with student groups, other units, and university offices on programming related to the Institute's mission.
  • Provide support for cross-cutting initiatives and programs, as well as for significant events and activities as required.
  • Offer additional assistance to the Director and faculty as necessary.

Education and Experience

  • Bachelor's degree or an equivalent combination of education and experience.
  • A minimum of three years of relevant experience.
  • Experience in event planning and delivering exceptional customer service.
  • Experience in budget management and arranging travel for others.
  • Proficiency in Microsoft Office, Outlook, and Google applications, with a willingness to learn new systems.

Preferred Qualifications

  • Master's degree in a related field or equivalent experience.
  • Demonstrated skills in network building, stakeholder outreach, and engagement.
  • Experience in developing publications, communications, and marketing materials, including contact databases, websites, and social media campaigns.
  • Familiarity with financial systems.
  • Experience with event management software.
  • Experience in grant seeking, tracking, and management.

Work Environment

  • Standard office environment.
  • Frequent unexpected interruptions and moderate to high stress levels.
  • Noise levels range from quiet to moderate.

Physical Requirements

  • Ability to sit at a computer for extended periods.
