Position Overview
The Head of Facilities Management is tasked with leading the Facilities Management Department and ensuring that the utilization of facilities and grounds aligns with the institution's goals and operational efficiency. This role provides essential support to the Senior Director of Facilities Management while reinforcing the core mission of the institution.

Leadership in Facilities Operations

  • Assists the Senior Director in overseeing the operations of facilities and grounds. Guarantees that the institution offers safe, appealing, and high-quality environments for the community. Implements policies, plans, and procedures for the effective functioning of the Facilities Management department under the guidance of the Senior Director.
  • Identifies critical capital maintenance needs across the campus and compiles data to advocate for capital projects during the funding process. Develops a thorough inventory of deferred maintenance issues and strategies for evaluation and resolution.
  • Leads initiatives for energy conservation by introducing new programs. Champions sustainability efforts throughout the campus and collaborates with other departments to promote efficient energy use and reduce costs. Provides recommendations as necessary.

Support for Facilities

  • Delivers services to the entire campus community, engaging senior leadership, academic leaders, and department heads in both short-term and long-term facility planning, safety, and security.
  • Offers technical guidance in areas such as audits, standards, preventative maintenance, and space utilization. Prepares materials for board presentations as required. Ensures adherence to all relevant federal, state, local, and institutional regulations, serving as the liaison with regulatory bodies overseeing building and environmental safety standards. Reviews and approves necessary reports and advises the Vice President of Administration as needed.

Community Engagement and Education

  • Oversees daily operations of the Facilities Management department. Ensures adequate staffing at all service points, assigns projects, delegates tasks, creates work schedules, provides direction, resolves operational issues, communicates job expectations, trains staff, and fosters professional development opportunities. Implements, clarifies, and enforces policies while recommending changes to those that may hinder success.
  • Conducts annual evaluations of employees, recommending salary increases, promotions, and other personnel actions. Approves leave requests and authorizes overtime as appropriate. Collaborates with Human Resources in managing recruitment, selection, and onboarding processes for the department.
  • Administers disciplinary actions in collaboration with Human Resources. Establishes and maintains a standard of exceptional service for students, faculty, and internal stakeholders.
  • Manages the departmental budget in conjunction with Business Services. Estimates expenses to achieve departmental objectives; conducts mid-year budget reviews; reviews and approves requisitions; exercises budgetary controls and reallocates resources as necessary.

Additional Responsibilities

  • Handles multiple assignments of varying complexity while meeting tight deadlines and adapting to the evolving needs of the institution and its partners. Ensures that the institution's name and image are positively perceived by both internal and external stakeholders. Attends all required meetings and training sessions, with the possibility of working evenings and weekends to meet workload demands.

Qualifications

  • A Bachelor’s degree in Engineering, Facilities Management, or a related field. A minimum of seven (7) years of progressive experience in Facilities Management, operations, skilled trades, landscape management, or a similar field.

Licenses and Certifications

  • A valid State Motor Vehicle Operator's License or the ability to gain access to work sites.

Physical Requirements
