Position Summary

The role entails providing comprehensive administrative support to executive leadership and designated directors, alongside front desk responsibilities during the primary receptionist's absence. The ideal candidate will exhibit adaptability, exceptional interpersonal skills, and the capacity to manage multiple tasks efficiently while maintaining effective communication with all organizational levels and external stakeholders.

Key Responsibilities

  • Administrative Support (75%)
    • Deliver general administrative assistance to C-Level Officers and assigned Directors as directed by the Executive Administrative Assistant.
    • Manage scheduling, correspondence, filing, and minute-taking for executive meetings.
    • Support the annual Giving Tree initiative and manage agency wish lists.
    • Assist in preparing materials for community outreach events.
    • Coordinate catering services for meetings and events.
    • Facilitate New Employee Orientation and other agency meetings.
    • Oversee the ordering process for agency merchandise and identification materials.
  • Demonstrate self-motivation and superior time management skills, with the ability to anticipate needs and coordinate tasks with minimal oversight.
  • Handle confidential information with discretion and maintain professionalism in all communications.
  • Quickly familiarize oneself with agency policies, procedures, and organizational structure.
  • Perform essential job functions effectively, with or without reasonable accommodation.

Front Desk Responsibilities (20%)

  • Oversee the reception area, ensuring a welcoming environment for guests and visitors.
  • Answer incoming calls in a courteous manner and direct them appropriately.
  • Manage mail sorting and assist with outgoing correspondence.
  • Facilitate the acceptance of donations and ensure proper documentation.
  • Provide assistance to new hires and applicants, ensuring all onboarding paperwork is completed accurately.
  • Maintain cleanliness and organization of conference and hospitality rooms.
  • Support colleagues with various administrative tasks as needed.
Additional Duties (5%)

Physical Requirements and Work Environment

Regularly required to stand, walk, and communicate effectively; must be able to handle objects and reach with hands and arms. Occasional sitting, kneeling, and carrying may be necessary. Specific vision abilities required include close and distance vision.

Qualifications

  • Associate degree in a relevant field or equivalent experience; Bachelor's degree preferred.
  • 1-2 years of experience in an administrative role, with receptionist experience preferred.
  • Proficiency in Microsoft Office Suite, particularly Outlook.
  • Strong written and verbal communication skills.
  • Self-motivated, organized, and capable of multitasking effectively.
  • Ability to manage sensitive information responsibly.
  • Adaptability to changes in work tasks and environment.
  • Critical thinking skills and ability to resolve minor issues independently.
  • Effective time management skills.
  • Comfortable collaborating with diverse teams and stakeholders.

  • Valid driver's license and insurance required.
