Job Summary

The Office Coordinator will be responsible for the daily operations of the FUJIFILM Healthcare Americas Corporation Miami office. This role will support the General Manager, Business Development Manager, and leadership team with administrative and clerical duties.

Key Responsibilities
  • Manage daily office operations, including account payable invoices and vendor relationships.
  • Assist with onboarding of new hires and contractors, including creating employee badges and information packets.
  • Manage key fobs and badges for employee and contractor office access.
  • Facilitate office fire and evacuation drills and revise evacuation plans as needed.
  • Coordinate travel and hotel arrangements for visitors and customers.
  • Schedule internal and customer trainings, meetings, and events.
  • Order office supplies and furniture, and negotiate with vendors for best pricing.
  • Organize customer visits and events for the HCUS Miami showroom.
  • Assist with facilities concerns and emergency issues, including placing calls to vendors and building management.
  • Perform special projects and tasks as needed by management.
  • Screen incoming calls, answer routine inquiries, and receive visitors.
  • Provide support with logo branding materials and coordinate office events.
Requirements
  • High school diploma or equivalent education; associate's degree preferred.
  • Proficient in Microsoft Office and other word processing and spreadsheet programs.
  • Knowledge of Adobe Creative Suite and ability to create advertising art a plus.
  • Strong verbal and written communication skills, professional presence, and attention to detail.
  • Ability to manage multiple projects simultaneously and negotiate with vendors.
  • Valid driver's license and clean driving record.
  • Ability to analyze and resolve challenges independently and have strong customer service orientation.
  • Must be bi-lingual in Spanish and English.
Physical Requirements
  • The ability to sit for 75-100% of applicable work time.
  • The ability to use hands and fingers to feel and manipulate items, including keyboards, up to 100% of applicable work time.
  • The ability to stand, talk, and hear for 75% of applicable work time.
  • The ability to lift and carry up to 45 pounds occasionally.
Travel

Occasional travel may be required based on business need.

$52,000-$64,000 (depending on experience)
