The University of Miami/UHealth and the Department of Radiology presents an exciting opportunity for a Senior Administrative Assistant to contribute at the Medical Campus in Miami. The role encompasses a range of clerical tasks and office support functions for designated sections within the Department of Radiology, ensuring smooth operational workflows.

CORE JOB FUNCTIONS

Assists department and/or leadership with daily administrative tasks. Generates basic reports, charts, budgets, and other presentation materials. Addresses routine inquiries from both external and internal sources through standard correspondence or other messaging. Organizes meetings and takes comprehensive minutes as required. Manages phone calls, providing information to callers or directing them to the appropriate personnel. Schedules appointments and updates calendars accordingly. Arranges travel logistics and reservations for department leadership and staff as necessary. Composes and types correspondence, including informative materials; creates spreadsheets and presentations. Welcomes and provides general assistance to visitors. Develops and maintains the department's filing system. Complies with University and unit-level policies and procedures while safeguarding University assets.

CORE QUALIFICATIONS

Education:

High school diploma or equivalent.

Experience:

Minimum of 1 year of relevant experience.

Department Specific Functions

Procures office supplies. Prepares financial documentation (IDRs, Expense Reports, Purchase Orders, work orders, check requisitions, etc. for the department). Oversees the scheduling for the auditorium and conference room. Distributes schedules for assigned sections. Maintains schedules for assigned sections in Smart Web and QGenda. Completes education verifications for former residents and fellows.

Knowledge, Skills and Attitudes:

General understanding of office procedures and operations. Ability to accurately prepare and maintain records, files, reports, and correspondence. Proficient in effective communication in both oral and written forms. Capable of maintaining effective interpersonal relationships. Skilled in processing and handling confidential information with discretion. Attention to detail and accuracy in completing assignments. Proficient in computer software (i.e., Microsoft Office).
