Role Summary

The Lead Operations Manager will oversee the Case Management Program for our clients, which encompasses client intake, case management, client relations, medical provider interactions, law firm collaborations, and compliance oversight. This role entails direct supervision of a diverse team across multiple locations and includes the development, implementation, and assessment of key performance indicators for the Case Management Program.

Reporting to the Chief Operations Officer, the Lead Operations Manager is tasked with managing daily administrative operations, coordinating case manager activities, overseeing financial operations, and ensuring adherence to legal standards. This position is vital for enhancing operational efficiency and productivity while maintaining high service quality. By cultivating an organized and supportive workplace, the Lead Operations Manager enables staff to focus on their legal responsibilities, thereby enhancing the organization's ability to meet client needs effectively.

Key Responsibilities

  • Work collaboratively with senior leadership to establish and implement strategic and tactical objectives aligned with the organization's vision and core values.
  • Set departmental and individual performance goals for team members.
  • Recruit, train, supervise, and evaluate the leadership and staff of the Case Management Team.
  • Manage team schedules, workflows, and operational efficiencies.
  • Delegate responsibilities based on team members' strengths while providing ongoing support and constructive feedback.
  • Ensure the effective execution of policies and procedures in compliance with legal standards.
  • Facilitate smooth client interactions and communications by coordinating exchanges between attorneys, support staff, and clients.
  • Collaborate closely with technology, legal, compliance, human resources, and marketing departments.
  • Maintain and oversee the weekly Performance Dashboard.

Required Skills and Qualifications

  • Strong leadership and supervisory skills with the ability to mentor and develop others.
  • A minimum of three years of experience in managing a successful team.
  • Demonstrated experience in hiring and training personnel.
  • Experience in a paralegal role or within a law firm is essential.
  • Proficient in client relationship management.
  • Ability to foster a sense of community and teamwork.
  • Strong problem-solving and analytical skills.
  • Attention to detail in document management and organization.
  • Excellent written and verbal communication capabilities.
  • Ability to build relationships and work collaboratively.
  • Exceptional customer service and interpersonal skills.

  • Ability to prioritize and delegate tasks effectively.
  • Proficient in Microsoft Office Suite or similar software.
  • Experience in personal injury law is preferred.
  • A strong desire to develop a team and contribute to organizational growth.

Physical Requirements

  • Ability to remain seated or standing for extended periods.
  • Ability to navigate the office environment to access necessary resources.

Education and Experience

  • A Bachelor’s degree in Business Administration or Management is preferred, or equivalent experience may be considered.
  • Effective communication skills in English, both oral and written; bilingual abilities are a plus.
