We are in search of an Administrative Coordinator to assist the CEO and President of Barcodes Inc. This role is essential in enhancing the CEO's productivity through proficient management of schedules, travel arrangements, and personal assistance.

The ideal candidate will possess exceptional attention to detail, organizational prowess, professionalism, and the capability to manage multiple responsibilities under pressure and tight deadlines, along with a strong aptitude for project oversight.

This individual should be capable of working autonomously while also providing support to other Executive Leaders as needed. Maintaining confidentiality is imperative for this position.

Key Responsibilities:

Executive Support:
Manage and coordinate the CEO's calendar, including scheduling meetings, appointments, and travel logistics.
Organize both domestic and international travel plans for the CEO.
Prepare meeting agendas, presentations, professional correspondence, and other necessary materials.
Act as the primary liaison for internal and external stakeholders seeking access to the CEO.
Handle incoming correspondence, emails, and phone inquiries.
Attend meetings with the CEO, document minutes, and follow up on action items.
Provide on-site assistance for significant in-office meetings, including coordinating monthly board meetings and events hosted by any Executive as required.
Tasks may include organizing meals, dinner reservations, distributing pre-reading materials, and scheduling meeting spaces.
Offer personalized support to the CEO as necessary.
May involve coordinating personal tasks for the CEO, including travel and calendar management.

Office Management

Assist in organizing vendor events and educational sessions.
Serve as a point of contact for all external team members, visitors, and vendors, ensuring adherence to visitor protocols.
Lead the planning, scheduling, and execution of corporate events, such as recognition programs and team gatherings.

Plan and coordinate all engagement activities for the office, including holiday celebrations, summer outings, team-building exercises, and other recognition events.

Act as a Brand Ambassador for the office regarding all company-wide initiatives and related activities.
Responsible for maintaining an inventory of office and kitchen supplies, ensuring they are ordered, received, stocked, and distributed appropriately.

Ensure that office equipment is functioning correctly and coordinate with internal and external vendors for maintenance needs.


Qualifications:
A college degree is preferred or equivalent professional experience.
A minimum of five (5) years of experience supporting an executive team.
Proficiency in travel administration and calendar management.
Experience in office management for a large team.
Demonstrated experience in planning corporate events and coordinating meetings.
Outstanding organizational skills, with the ability to multitask and prioritize effectively.
Strong verbal and written communication abilities.
Proficiency in Microsoft Office Suite and other relevant software applications.
Ability to maintain strict confidentiality and manage sensitive information with discretion.
A proactive mindset with a willingness to embrace new challenges and acquire new skills.
