Summary:
The Billing Specialist is a key role within the finance department, reporting directly to the Billing Manager. This position is essential for overseeing the accounts receivable billing cycle, which includes generating customer invoices, processing credits, managing lien waivers, and handling pay applications for various projects. Additionally, this role involves the timely processing of credit card transactions and the systematic review of storage contracts to ensure accurate billing.
Key Responsibilities:
- Oversee daily accounts receivable operations, including invoicing, credit management, and lien waiver processing.
- Conduct monthly reviews of storage contracts to facilitate accurate billing.
- Collaborate with the accounts receivable team to ensure proper application of customer payments.
Job Duties:
- Review all draft invoices and related billing documents for precision and completeness prior to issuing customer invoices in accordance with company policies.
- Apply appropriate tax rates based on jurisdiction and nature of services rendered.
- Prepare and submit customer invoices along with necessary documentation, such as pay applications and lien waivers, in compliance with subcontract requirements.
- Process customer credits following established procedures and with necessary approvals.
- Assist the billing team in providing lien waivers upon confirmation of payment receipt.
- Facilitate credit card payment processing through automated systems and ensure customers receive receipts.
- Maintain and update customer account information as required.
- Educate sales personnel and staff on billing-related issues and emerging topics.
- Review and finalize job accounts as necessary.
- Perform additional duties as assigned by the manager.
Qualifications:
- 3-5 years of experience in accounts receivable and credit management, preferably in the construction or related sectors.
- Experience in operational finance is advantageous, particularly in multi-entity environments.
- Strong grasp of financial and operational processes, as well as internal controls related to receivables.
- Excellent analytical abilities to interpret financial data and results.
- Capability to summarize detailed receivables information for management review.
- Proficient in MS Office, particularly Excel; familiarity with SAP Business One is a plus.
- Commitment to continuous improvement in processes and personal skill development.
- A natural curiosity and desire to understand operational mechanics.
