Position Summary:

The Healthcare Administrative Coordinator will play a crucial role in managing incoming communications, coordinating appointment schedules, accurately documenting messages, and maintaining patient records. This position involves verifying patient insurance eligibility and confirming appointments while performing various administrative tasks to support healthcare professionals. Upholding the confidentiality of both agency and client information is essential.

Work Schedule:

This is a full-time role, requiring 37.5 hours per week. Part-time opportunities may be available as specified by management. Occasional overtime may be necessary due to staffing needs. Travel to various service locations may also be required.

Qualifications:

  • High school diploma or GED; Medical Assistant Certification preferred.
  • Proficiency in Microsoft Word, Excel, and electronic medical records.
  • Familiarity with medical terminology and typing skills.
  • Ability to maintain required immunizations and vaccinations.
  • Strong organizational and research capabilities.
  • Attention to detail.
  • Excellent interpersonal and written communication skills.
  • Professional telephone etiquette.
  • Current CPR (BLS) certification.
  • Dependability and initiative in presenting information clearly to patients and colleagues.
  • Bilingual/Bicultural Spanish is a plus.

Key Responsibilities:

  • Accurately obtain and document patient information in records.
  • Answer phone calls in a courteous and professional manner.
  • Perform administrative tasks such as paperwork, faxing, and electronic messaging as required.
  • Adhere to agency policies and ethical standards.
  • Maintain a clean and organized workspace.
  • Notify the appropriate personnel regarding supply needs.
  • Secure the department at the end of the shift, ensuring all equipment is turned off and locked as necessary.
  • Complete additional duties as assigned.

Confidentiality:

This position requires full access to client medical records and some financial/statistical information. Maintaining client confidentiality in accordance with applicable laws and agency policies is imperative.

Physical Requirements:

The physical demands of this role include regular sitting and communication, frequent use of hands and arms, and occasional lifting of up to 40 lbs. The work environment is a clinical office setting, with potential exposure to health-related risks requiring adherence to safety protocols.
