Job Summary

The Administrative Program Specialist (Clinic Manager) plays a vital role in the success of the BIG ABA Clinic at Oregon Institute of Technology. Reporting to the Clinic Director, this individual will provide exceptional managerial support to the Associate Clinic Director, students, and staff.

Key Responsibilities
  • Provide top-notch customer service, interacting with patients, healthcare providers, vendors, and staff to ensure seamless clinic operations.
  • Ensure compliance with all legal and regulatory requirements for insurance billing and reimbursement.
  • Manage daily clinic operations, including appointment scheduling, phone calls, emails, and other inquiries.
  • Oversee budget management, scheduling, purchasing, inventory, and other administrative tasks.
Requirements
  • Two years of experience as an administrative specialist or executive support specialist, with a focus on project, program, or operational support.
  • Administrative support duties include interpretation of laws, rules, and regulations, data collection and analysis, and evaluation of projects, processes, and operations.
  • One year of post-secondary education may be substituted for up to one year of experience.
  • Additional Requirements:
    • Fluency with Microsoft Office Suite, including Outlook, Office 365, and Teams.
    • Ability to handle sensitive client information with confidentiality.
    • Highly organized with the ability to adapt to new tasks quickly.
    • Excellent customer service skills.
    • Ability to learn software quickly.
Preferred Qualifications
  • Experience with medical billing.
  • Experience with database management.
  • Two years of experience in a healthcare setting.
  • Experience working with children and/or individuals with disabilities.
