Position Overview

Role Summary
The Grants Management Coordinator is an essential member of the Grants and Research Office at Chicago State University, tasked with overseeing the administrative functions vital for the effective management of grants. This role demands a high level of precision, outstanding organizational capabilities, and the ability to work collaboratively with faculty, staff, and administrative teams.

Key Responsibilities
  • Grant Administration Support (50%)
    Deliver extensive administrative assistance to faculty and staff throughout the grant lifecycle, from proposal formulation to project finalization.
  • Procurement Coordination
    Manage grant-related procurement tasks, including sourcing necessary materials, equipment, and services while adhering to budgetary constraints and procurement protocols.
  • Hiring and Travel Coordination
    Oversee grant-related hiring and travel arrangements, ensuring compliance with grant regulations and university policies.
  • Timely Grant Actions
    Execute prompt actions in all areas of grant administration to achieve grant objectives.

Financial Oversight (10%)
  • Handle financial transactions associated with grants, such as purchase orders, stipends, reimbursements, and invoice payments, ensuring accuracy and adherence to grant regulations.

Personnel Management (10%)
  • Facilitate the recruitment process for grant-funded personnel, including research assistants and consultants, in collaboration with human resources.
  • Maintain precise records of personnel appointments and salaries, essential for grant reporting and compliance.

Travel and Logistics Management (10%)
  • Coordinate travel arrangements and logistics for grant-related events, such as conferences and workshops, in line with university travel policies.
  • Assist project teams with travel expense reimbursement processes, ensuring compliance with grant regulations.

Compliance and Reporting (10%)
  • Ensure that grant administrative activities comply with funding agency requirements and university policies, proactively identifying and resolving potential issues.

Administrative Support to Leadership (10%)
  • Provide administrative assistance to the Associate Provost, including meeting coordination, report preparation, and support with grant-related documentation.

Qualifications
  • Minimum: Bachelor's degree in business administration, finance, or a related field.
  • Preferred: Experience in grant administration or research management within an academic or research institution.

Skills and Abilities
  • Familiarity with grant regulations and financial management principles.
  • Strong organizational and communication skills.
