This position reports directly to the Education and Training Director and is classified as an hourly, non-exempt role. The primary responsibility involves performing administrative tasks related to maintaining accurate records for students enrolled in the Job Corps Program. This role includes scheduling students into various classes and ensuring that all records are meticulously kept. The individual in this position will exemplify a continuous commitment to preparing youth for the workforce by modeling, mentoring, and monitoring excellence in the eight Career Success Standards, which encompass workplace relations and ethics, information management, communications, multicultural awareness, personal growth and development, career and personal planning, interpersonal skills, and independent living.

Key Responsibilities:
  • Adhere to and promote ODLE Core Values and operational principles.
  • Coordinate all center activities related to student scheduling, including the creation, distribution, and management of all relevant documentation.
  • Adjust schedules based on student requirements and conduct audits to ensure accuracy in student course profiles.
  • Assist in locating students when necessary through announcements.
  • Ensure that the list of unexcused absences is communicated to all staff daily and amend excused absences as needed.
  • Immediately report any discrepancies in attendance to the supervisor.
  • Process class passes as required.
  • Verify that appropriate courses are closed in the Profile system on a weekly basis.
  • Develop and maintain a spreadsheet for the Academic & CTT manager to facilitate class assignments for new students.
  • Participate in OMS projection meetings, documenting necessary changes to student schedules.
  • Conduct weekly scheduling meetings.
  • Ensure that Driver's Permits and License Information are accurately entered into the CIS system and assist with pass entries as needed.
  • Provide coverage for the Scheduling & Attendance Clerk during their absence, and vice versa.
  • Draft reports, memorandums, and other documents from various sources.
  • Review and correct grammatical, punctuation, and spelling errors.
  • Manage incoming messages through fax and other means.
  • Answer departmental calls and take messages as required.
  • Sort, screen, and route mail based on content.
  • Organize, alphabetize, and file materials appropriately.
  • Operate office machinery and duplication equipment.
  • Utilize email for sending and retrieving messages as necessary.
  • Order office supplies and equipment as needed.
  • Attend in-service training sessions for professional development.
  • Perform switchboard and reception duties as required.
  • Establish and maintain confidential files and records.
  • Collect, manage, and distribute departmental staff mail on a daily basis.
  • Effectively communicate and model appropriate CSS and employability skills, including personal responsibility and computer proficiency.
  • Maintain accountability for staff, students, and property while adhering to safety practices in all areas of responsibility.
  • Foster a center environment that is free from harassment, intimidation, and disrespect, ensuring a safe space for staff and students to work and learn.
  • Carry out additional duties as assigned.
Qualifications:
  • High School diploma or equivalent.
  • Preferred one year of experience in a complex administrative role.
  • Valid driver's license with a satisfactory driving record is preferred.

Additional Skills: Proficiency in operating a personal computer and familiarity with word processing software applications. Strong organizational skills and a working knowledge of office procedures are essential. Excellent oral and written communication skills are required, along with an aptitude for mathematical computations. The ability to proofread and correct errors in grammar, punctuation, and spelling is necessary. Sound telephone etiquette is expected. The position also requires the ability to effectively interact with team members and maintain productive working relationships with all facility staff and departments.
