Role Title: Procurement and Equipment Specialist

Department: General Services

Reports To: Director of General Services

Position Summary

The Procurement and Equipment Specialist is responsible for the systematic management of equipment files, conducting regular quality control (QC) and preventive maintenance checks, liaising with vendors for repairs, and ensuring the integrity of supplier qualifications. This role also involves overseeing critical supplies within the warehouse, managing procurement processes, and maintaining precise purchasing documentation.

Key Responsibilities

  1. Conduct quarterly and annual quality control and preventive maintenance for medical equipment in accordance with established protocols.
  2. Collaborate with departmental leadership and external vendors to coordinate maintenance services.
  3. Maintain comprehensive equipment files, ensuring proper validation, calibration, and repair as necessary.
  4. Oversee the tracking of all equipment calibrations and ensure compliance with supplier qualifications.
  5. Engage in the validation of equipment to uphold operational standards.
  6. Work collaboratively across departments to ensure equipment is maintained according to manufacturer specifications.
  7. Ensure timely procurement of goods and services while adhering to contract terms.
  8. Review purchase requisitions for necessary approvals and documentation prior to order issuance.
  9. Determine procurement methods and manage purchase order requests.
  10. Monitor and adjust workload distribution among buyers to optimize efficiency.
  11. Stay informed on procedural updates and regulatory changes affecting procurement practices.
  12. Communicate effectively with all levels of personnel regarding purchase orders and contracts.
  13. Collaborate with accounting to resolve payment issues related to purchase orders.
  14. Exhibit strong time-management skills to avoid contract expirations and adhere to purchasing schedules.
  15. Follow all relevant standard operating procedures and maintain accurate records.
  16. Promote BBA values and customer service standards in all interactions.
  17. Maintain a positive organizational image within the community.
  18. Perform additional duties as assigned.

Customer Interaction and Problem Solving

Deliver exceptional service to both internal and external customers, prioritizing their needs and ensuring timely and professional interactions. Demonstrate strong problem-solving abilities and meticulous attention to detail.

Qualifications

To excel in this role, candidates must meet the following qualifications:

  • Strong interpersonal and communication skills.
  • Proficiency in Microsoft Office applications, particularly Word and Excel.
  • Ability to work independently and manage detailed tasks within specified timeframes.
  • Exceptional organizational skills with the ability to prioritize effectively.
  • Capability to interpret regulatory guidelines and make quality-focused decisions.
  • Ability to maintain confidentiality regarding sensitive information.

Education and Experience

Minimum educational requirement is a high school diploma, with a preference for an associate's or bachelor's degree in a relevant field. Candidates should have at least one year of experience working with medical devices or in a regulated environment, with a preference for experience in clinical laboratories or blood banking.

Work Environment

This position may involve exposure to blood or other potentially infectious materials. Adherence to OSHA Bloodborne Pathogens Standards is required, and personal protective equipment will be provided as necessary. The role may require extended hours and physical activity, including lifting up to 50 lbs.
