Position Title: Procurement and Equipment Specialist
Department: General Services
Reports To: Director of General Services
Position Summary
The Procurement and Equipment Specialist is responsible for the systematic management of equipment files, executing routine quality control and preventive maintenance for designated equipment, liaising with vendors for repairs, troubleshooting equipment issues, ensuring supplier qualifications, maintaining essential supplies in the warehouse, and accurately documenting purchasing records.
This role requires collaboration across departments while consistently demonstrating accountability for assigned responsibilities.
Key Responsibilities
- Conduct quarterly and annual quality control and preventive maintenance for equipment in accordance with established protocols.
- Collaborate with departmental management and vendors to facilitate quality control and maintenance services.
- Maintain comprehensive equipment files and oversee validation, calibration, and repair processes.
- Track and manage current calibrations for all equipment.
- Ensure compliance with supplier and service provider qualifications.
- Engage in equipment validation processes.
- Work collaboratively with all departments to uphold manufacturer maintenance recommendations.
- Ensure timely procurement of goods and services.
- Verify vendor compliance with contractual obligations.
- Review Purchase Requisitions for necessary approvals and documentation prior to order issuance.
- Determine procurement methods and assign Purchase Order requests to Buyers.
- Monitor and adjust requests and contracts assigned to Buyers to balance workload.
- Stay informed of procedural changes, document updates, and necessary disclosures for vendors.
- Communicate effectively with all levels of personnel regarding purchase orders and contracts.
- Collaborate with accounting to resolve purchase order payment issues.
- Utilize excellent time-management skills to plan activities and avoid contract expirations.
- Adhere to relevant Standard Operating Procedures and document required information accurately.
- Support the organization's values, quality objectives, and customer service standards.
- Maintain a positive image of the organization within the community.
- Perform additional duties as assigned.

Education
Minimum: High School Diploma.
Preferred: Associate's or Bachelor's Degree in a relevant field.
Experience
Minimum one year (two to three years preferred) experience with medical devices or regulated equipment.
Experience in clinical laboratory, blood banking, or regulated environments preferred.
At least one year of experience in accounting practices and software.
Work Environment
This position may involve potential hazards due to exposure to blood or other infectious materials. Compliance with OSHA Bloodborne Pathogens Standards is mandatory.
Vaccination for Hepatitis B is available upon request, and personal protective equipment will be provided as necessary.
Occasional long hours and irregular schedules may be required, along with the ability to lift up to 50 lbs.
