Customer Service Representative for Arts Programs

Job Summary

We are seeking a highly skilled and customer-focused individual to join our team as an Arts Customer Service Coordinator. This role will provide front-line customer service for Pacific View Arts Center patrons and support the day-to-day operations of the Center.

Key Responsibilities
  • Provide exceptional customer service to patrons, responding to inquiries and resolving issues in a timely and professional manner.
  • Manage the front desk, answering phones, responding to emails, and performing general clerical and administrative duties as needed.
  • Process course registrations, account for monies received, and maintain accurate records.
  • Oversee the day-to-day operations of Center programs and projects, ensuring smooth execution and high-quality service delivery.
  • Communicate effectively with supervisors, staff, and stakeholders to discuss activities, equipment, and personnel issues.
  • Develop reports on program effectiveness, identifying opportunities for improving service delivery methods and procedures.
  • Prepare promotional materials, such as newsletters, calendars, and brochures, to promote Center programs and events.
  • Perform general data entry and record maintenance, ensuring accuracy and timeliness.
  • Assist in room preparation for classes and workshops, setting up and tearing down equipment as needed.
  • Identify opportunities for improving service delivery methods and procedures, determining resource needs and process revisions.
  • Lead in the training and supervision of subordinate Arts staff, volunteers, and independent contractors, providing input on performance.
  • Determine equipment and supply requirements for program activities, obtaining and stocking supplies as needed.
  • Provide staff assistance to the Arts Supervisor(s) and Arts Division management staff, preparing and presenting reports, records, and correspondence as necessary.
  • Maintain program files, databases, and records, including daily rosters, statistics, and program attendance.
  • Assist in the public education and enforcement of established rules, policies, and procedures at City sites and facilities.
  • Adhere to City of Encinitas and San Dieguito Water District safety protocols.
  • Use and maintain City vehicles for errands, including picking up program and event supplies.
  • Attend meetings as required.
Requirements
  • Equivalent to an Associate's degree from an accredited college or university, with major coursework in leisure studies, business administration, or a related field.
  • Four years of responsible recreation program experience, including at least one year of administrative and/or lead supervisory experience.
