Administrative Coordinator

The successful candidate will play a vital role in maintaining an efficient office by providing administrative and accounting support to project and field management teams.
This role offers the opportunity to work closely with our office staff and operations team to support the successful completion of diverse projects within the construction industry.
ResponsibilitiesAssist Senior Management and Estimators in coordinating administrative tasks
Support the onboarding process for new hires, including paperwork, orientation, and railroad training
Collaborate with the Safety team to track paperwork and schedule appointments as needed
Manage company DOT/FRA drug testing requirements and process NRG expenses, including credit card reconciliation and employee expense reports
Verify vendor/subcontractor invoices against purchase orders or contracts to ensure accuracy
Compute discounts, make sales/use tax determinations, and process invoices for payment
Assist in preparing Final Close submittals for Projects
Establish and maintain files in accordance with KNA filing protocol, as directed by supervisor
Code and verify accuracy of time sheets for payroll processing
Coordinate company travel and events, including team building outings and social gatherings
Monitor project cost control and material inventory
Prepare daily, weekly, monthly, and annual reports, as well as job-to-date reports
Client invoice preparation, equipment rental accounting, back charges, and invoice tracers
Support Foreman and superintendents with field-related concerns, including project setup
Manage the NRG calendar and assist project managers with RFI's and submittals on larger projects
Qualifications
Minimum 2 years' administrative experience
Associates degree in business or accounting preferred
Knowledge of general office procedures
Effective interpersonal, written, and verbal communication skills
Excellent time management skills and the ability to prioritize work
Strong decision-making and problem-solving skills
Team player with the ability to work independently and take initiative
Experience with Microsoft Suite products, Outlook, Viewpoint, Bluebeam, and Expedition
