We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The successful candidate will provide administrative support to the Employee and Labor Relations Office, ensuring the smooth operation of daily tasks and projects.
Key Responsibilities- Provide administrative support to the Employee and Labor Relations Office, including accepting and logging incoming calls, maintaining TIMES for all staff, and responding to demographic and file review requests.
- Schedule interrogations and send proper notification to the Justice Center, Employee and Labor Relations, and Office of Employee Relations.
- Complete Disciplinary Summary Sheets and file, save, and/or distribute Notices of Discipline, including Time & Attendance NODs, Formal Counseling memos, Settlements, and Arb Awards.
- Maintain Microsoft List and/or Excel tracking reports for FELIX, Job Abandonment, Restricted Sick Leave, Notices of Discipline, Grievances, Administrative Leave, and Workplace Violence.
- Perform other clerical duties, including word processing, typing letters, completing filing, ordering supplies, scheduling rooms, drafting agendas for Labor Management Meetings, and attending/taking/distributing meeting minutes.
- High school diploma or equivalent required; associate's degree or higher preferred.
- One year of experience in administrative support, including use of office software, provision of customer service, business writing, and/or office administration.
- Ability to pass a keyboarding test demonstrating the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy.
- Excellent organizational, time management, and communication skills.
The successful candidate will work in a fast-paced office environment, requiring the ability to multitask and prioritize tasks effectively. The position involves working with confidential information and maintaining confidentiality at all times.
