Position Summary

Become a vital member of our Fiscal Department, contributing significantly to the preservation of our financial integrity. In this key role, you will be responsible for preparing journal entries, maintaining reconciliations, facilitating communication between fiscal and auxiliary departments, managing fraud prevention initiatives, conducting audits, overseeing fixed assets, and supporting the Accounting Director. Leverage your expertise in accounting policies, procedures, and regulations within a dynamic and collaborative setting where your efforts will make a substantial difference.
Key Responsibilities

1. Supervise cash management for auxiliary departments, including training on cash handling, ensuring separation of duties, conducting periodic reviews, and distributing newsletters.
2. Design and implement internal audits, covering financial, operational, and compliance aspects to guarantee the accuracy and integrity of financial records in auxiliary departments.
3. Generate comprehensive internal audit reports, summarizing findings and offering suggestions for enhancements.
4. Provide education and training to staff on fraud prevention strategies and foster awareness of ethical conduct and compliance.
5. Conduct monthly reconciliations of college bank accounts, payroll benefit accounts, and other general ledger accounts.
6. Prepare and record entries for month-end closing tasks, including bi-weekly payroll uploads, asset depreciation, and other necessary entries.
7. Review and authorize journal entries daily for entry into the accounting system.
8. Maintain records for capital and non-capital assets, tag capital acquisitions, generate appropriate reports, and perform periodic asset audits.
9. Prepare, distribute, and file year-end 1099 and 1098T tax forms.
10. Reconcile stale-dated checks, contact owners for recovery, and file unclaimed property with the state.
11. Serve as a backup for the Accounts Payable Specialist and Accounting Director.
12. Carry out additional duties as assigned.
Qualifications

Education and Experience:
1. Bachelor's degree in accounting or a related discipline.
2. Minimum of two (2) years of relevant experience in accounting.
3. Proficient in Microsoft Office applications, particularly Excel, Word, Access, and Outlook.
4. Familiarity with Adobe Acrobat DC, including file combination and editing.
5. Experience with accounting software.
6. Understanding of Family Educational Rights and Privacy Act (FERPA) guidelines concerning student information.

Physical Requirements:
1. The role primarily involves sitting, with occasional walking, standing, bending, reaching, and carrying light items. No special physical demands are necessary.
2. The work environment is a typical office setting, adequately lighted, heated, and ventilated, with standard safety protocols in place.
Additional Information

Working Hours: Monday through Friday 8:00 AM - 5:00 PM
