Job Overview

The role of the Production Assistant is crucial in providing comprehensive administrative support within the Program Management Office (PMO). This position is responsible for a variety of tasks that ensure smooth office operations and project management efficiency.

Key Responsibilities
  • Manage incoming phone calls and direct them to the appropriate team members.
  • Prepare and distribute copies of new work orders to relevant personnel.
  • Draft and submit Inspection Deficiency Reports (IDRs) for review and approval.
  • Track and manage the submission of reports to clients and contractors.
  • Organize and maintain all project documentation by work item and order number.
  • Provide necessary copies for supervisors and ensure proper filing.
  • Notify Production Managers of any rejected reports.
  • Ensure the integrity of job files throughout the duration of open work orders.
  • Process Personal Time Off requests and manage scheduling in the Outlook Calendar.
  • Document meeting minutes and create basic administrative correspondence.
  • Assist Program Managers and Project Managers with various administrative tasks.
  • Order and organize office supplies to maintain a tidy workspace.
  • Perform additional duties as assigned.
Qualifications
  1. A minimum of 2 years of experience in an office environment.
  2. Strong written and verbal communication skills, with a focus on teamwork.
  3. Familiarity with job management systems and billing processes.
  4. Ability to work independently with minimal oversight.
  5. Exceptional organizational and filing skills.
  6. Experience collaborating with managers and supervisors at all levels.
  7. Excellent customer service and phone etiquette.
  8. Commitment to integrity and professionalism in all business interactions.
  9. Proficiency in Microsoft Office applications.
  10. Knowledge of relevant trades such as welding, machining, and electrical work.
  11. Demonstrated problem-solving and conflict-resolution abilities.
  12. Strong listening skills and the ability to provide clear direction.
Education
  • High school diploma or GED is required; completion of college courses with a focus on Business is preferred.
