Job Summary

The Degree Audit Specialist plays a crucial role in overseeing and coding degree requirements within the University of New England's degree audit platform, DegreeWorks. This position ensures precise monitoring of students' degree progress. Key duties encompass reviewing and coding academic program requirements, testing and maintaining the degree audit system for precision, auditing students' academic progress for graduation eligibility, addressing degree audit inquiries, advising on degree prerequisites, and assisting with the processing of degree exceptions and commencement verification.

Flexible Work Arrangement
This position will primarily be situated on the Biddeford Campus, with occasional travel between the Biddeford and Portland campuses. Following an initial review and training period, there may be opportunities for a hybrid flexible work arrangement, contingent upon the ability to attend meetings and scheduled days on either campus.

Work Environment:

The University Registrar's Office operates in a traditional office setting. It is a dynamic environment, often busy and customer service-oriented, with frequent interruptions. Some remote evening hours may be required.

Key Responsibilities
  • Assist in reviewing the curriculum to ensure that academic program requirements are accurately coded in the degree audit system (DegreeWorks).
  • Test and maintain the degree audit system, ensuring the reliability and integrity of the data.
  • Audit the academic progress of students applying for graduation by reviewing their intended degrees, majors, minors, and specializations to identify and notify advisors and students of potential issues.
  • Respond to inquiries regarding degree audits from faculty advisors and staff, making necessary corrections.
  • Advise professional and faculty advisors on undergraduate and graduate degree requirements, academic policies, and procedures.
  • Assist with processing approved degree requirement exceptions for course substitutions and overrides in the degree audit system.
  • Support the Assistant Registrar-Degree Audit and Graduation with commencement processes to verify that all degree candidates have fulfilled degree requirements.
Qualifications
  • Bachelor's degree with a minimum of 2 years of experience, or an equivalent combination of education and experience in a University Registrar's Office.
  • Preferred experience with DegreeWorks and Ellucian Banner or other student information systems.
  • Proficiency in Microsoft Office Suite, especially Excel.
  • Familiarity with basic principles of simple computer languages or programming.
  • Strong logical and analytical problem-solving skills; excellent critical thinking abilities; attention to detail and capacity to manage multiple tasks in a high-pressure environment.
  • Effective interpersonal and communication skills to work with diverse individuals and groups.
  • Ability to work independently with minimal supervision, manage multiple tasks, and maintain productivity despite interruptions.
  • Capability to collect, verify, and report data; ability to make procedural decisions on sensitive, confidential issues while adhering to FERPA regulations.
  • Experience with report writing software and the ability to collect, verify, and report data.
  • Knowledge of customer service standards, student records principles, policies, and computerized student information systems.
  • Ability to maintain confidentiality of student academic records.
