Job Summary

The Medical Records Supervisor is a critical role within Telecare, responsible for overseeing the maintenance, storage, and processing of all medical records. This position requires a high level of attention to detail, organizational skills, and the ability to work independently with minimal supervision.

Key Responsibilities
  • Supervise medical records staff, including medical records technicians and ward clerks, to ensure compliance with governmental regulations and standard professional and medical record keeping practices.
  • Develop and implement policies and procedures to ensure accurate and timely processing of medical records.
  • Monitor and track compliance with legal documents and correspondence with conservators/guardians.
  • Prepare and process clinical records of members served who are admitted to or discharged from the program.
  • Audit clinical records for completeness and adherence to standards.
  • Ensure data is collected accurately and in a timely manner.
  • Verify accuracy of data and ensure that clinical staff understands the significance of inputting key data elements.
  • Ensure that members served information, admissions, discharges, eligibility information, outcome data, and other pertinent information is documented within specified time limits.
  • Create and run reports to confirm accuracy of data and make corrections according to County instructions within specified timelines.
  • Participate in all system trainings and meetings to stay up-to-date on all changes and revisions to system.
  • Perform computer interface (uploads) of data to Corporate office.
  • Possess knowledge of documentation and legal issues as well as regulations, accreditation standards, and professional standards of practice for health information based on program setting.
  • Perform a variety of clerical and technical duties associated with EHR and hybrid medical record maintenance, including assembling, analysis, processing, data entry, data collection, and preparation of reports.
  • Provide supervisory oversight to medical records technicians and ward clerks.
  • Understand and follow oral and written instructions, maintain medical records, and prepare reports from such records.
  • Establish and maintain effective working relationships with physicians and other clinical staff, members served, and the public.
  • Work independently with minimal supervision.
  • Maintain confidentiality of all members served medical records.
Requirements
  • High school diploma or equivalent required.
  • Working knowledge of ICD-DSM IV/V required.
  • Three years of experience required as a medical records technician, ward clerk, or equivalent.
  • Must be at least 18 years of age.
  • Must be CPR, Crisis Prevention Institute (CPI), and First Aid certified on date of employment or within 30 days of employment and maintain current certification throughout employment.
  • All opportunities at Telecare are contingent upon successful completion and receipt of acceptable results of the applicable post-offer physical examination, -step PPD test for tuberculosis, acceptable criminal background clearances, excluded party sanctions, and degree or license verification.
  • Valid driver's license, a motor vehicle clearance, and proof of auto insurance required at time of employment and must be maintained throughout employment.
Preferred Qualifications
  • RHIT or RHIA credential through the American Medical Association (AHIMA).
  • Bachelor's degree from an accredited college or university.
Skills
  • Knowledge of EHR software, Microsoft Office Applications, and the ability to operate basic internet software.
  • Able to accurately enter data into a database.
  • Send/receive emails and attachments.
Physical Demands

The employee is occasionally required to stand, walk, bend, push, pull, and lift and carry items weighing pounds or less as well as to frequently reach, twist, squat, kneel, and do simple grasping occasionally.

The position requires manual repetitions, deviations, and dexterity.
