Overview

The Records Management Supervisor is tasked with overseeing a dedicated team within the records department of the organization. This role involves ensuring the effective storage, backup, maintenance, reproduction, protection, and proper disposal of all records.

Key Responsibilities

+ Collaborate with the Records Team to facilitate the efficient operation of locating, compiling, gathering, and issuing requested records and information within set timeframes.

+ Process data, categorize, classify, and code materials for seamless integration into systems; retrieve and reference information for users.

+ Coordinate the creation, receipt, storage, retrieval, and disposal of information; manage file shifting to optimize space utilization.

+ Serve as the primary contact for all on-site and off-site record activities in the absence of the Manager; lead special project teams as required and liaise with vendors as necessary.

+ Work closely with clients to assess, research, and propose solutions to records-related challenges; maintain detailed logs of all work submitted and completed, utilizing a date-time stamping system, including service logs.

+ Implement training programs for user departments to ensure standardization of systems and their effective utilization; engage with file-tracking technology.

+ Responsible for the opening and closing of the Records Center, ensuring a neat and professional appearance.

+ Assist the Site Manager with the processing of monthly invoices; review logs and other documentation for accuracy and completeness.

+ Generate monthly production and volume reports to evaluate productivity and prepare billing charges; utilize Word, Excel, or CBPS Max for report generation as needed.

+ Prepare outgoing items for secure disposal.

Qualifications

+ Preferred college education.

+ A minimum of 3 years of direct experience in a records management environment, including at least 1 year in a supervisory capacity.

+ Exceptional customer service skills, along with a professional demeanor and appearance; ability to work overtime and meet deadlines.

+ Proficient in Word and Excel for reporting purposes.

+ Strong capabilities in utilizing file tracking technology.

Physical Demands

+ Requires physical activity, including frequent bending, reaching, lifting, and standing.

+ Ability to lift and/or move up to 50 lbs.
