Office Administrator

At Addison Group, we are seeking a highly skilled and organized Office Administrator to join our dynamic Seattle office team.

Key Responsibilities:

  • Provide exceptional communication and liaison services to internal and external stakeholders, ensuring seamless collaboration and confidentiality.
  • Manage complex calendars for designated leaders, ensuring timely scheduling and coordination.
  • Implement and maintain document control, data, and information management systems, ensuring accuracy and compliance.
  • Prepare, edit, and submit high-quality reports, specifications, correspondence, spreadsheets, and presentations, adhering to branding guidelines.
  • Stay up-to-date with evolving digital platforms and processes, adapting to new technologies and tools.
  • Assist in proposal development, bid preparation, and presentation creation, ensuring timely and accurate submissions.
  • Support the administration of the Client Relationship Management (CRM) system, including opportunity creation, pipeline management, and contact database maintenance.
  • Ensure CRM data accuracy and reliability, regularly reviewing and updating records.
  • Conduct research to inform business development efforts, identifying new opportunities and partnerships.
  • Plan and coordinate office events, ensuring seamless execution and attention to detail.
  • Utilize Concur SAP for business travel, expense reports, and invoice processing.
  • Assist with professional license applications and renewals, ensuring compliance and accuracy.
  • Perform other duties as required, demonstrating flexibility and adaptability.

Qualifications:

  • Seattle resident with proximity to the office location.
  • Minimum four years of applicable experience in a similar role, preferably in professional services.
  • Associate or bachelor's degree in business or a related field is preferred.
  • Proficiency in MS Office Suite and other standard applications/software programs and databases is required.
  • Strong English grammar, spelling, punctuation, composition, drafting, and proofreading skills are essential.
  • Strong organizational skills and effective time management abilities.
  • Proactive, self-motivated individual with excellent communication and interpersonal skills.
  • Ability to work both independently and collaboratively within a team environment.
  • Excellent interpersonal skills, adept at building and managing relationships.
  • Diligent with attention to detail, committed to precision and excellence in every task.
