Position Overview

The Administrative Coordinator at Maple Hill Senior Living serves as the welcoming face of our community. This role is pivotal in ensuring a positive atmosphere and providing exceptional support to residents, clients, and team members.

Key Responsibilities


• Act as the primary point of contact at the front desk, demonstrating outstanding customer service and problem-solving skills.


• Support various administrative functions, including billing, collections, and the coordination of financial assistance applications.


• Utilize software systems to manage billing processes and automate payment solutions.


• Handle incoming phone calls, ensuring messages are relayed to appropriate personnel.


• Assist in scheduling interviews and onboarding processes for new hires.


• Contribute to employee engagement activities and participate in community events.


• Manage administrative tasks through online ordering systems.


• Oversee the delivery and distribution of resident and business mail.


• Ensure timely processing and mailing of bills to residents and responsible parties.


• Create and maintain financial files, adhering to strict deadlines.


• Collaborate with the Executive Director to manage accounts payable by scanning and sending invoices.


• Address inquiries from residents and guests, providing effective solutions.


• Demonstrate strong problem-solving abilities and maintain effective communication with all staff levels.


• Generate reports and analyze data to identify trends as assigned.


• Complete additional projects and tasks as directed.

Qualifications


• High school diploma or equivalent.


• Proficient in Microsoft Word, Excel, and Outlook.


• Strong organizational and administrative skills.


• Excellent written and verbal communication abilities.

Preferred Qualifications


• Experience working with senior populations, demonstrating sensitivity to their needs.


• Familiarity with Electronic Health Records and data entry.


• Ability to lift and carry objects weighing up to 30 lbs or more.


• Valid driver's license.

Marketing and Customer Service Responsibilities

  • Develop and maintain positive relationships with local community organizations and agencies.
  • Provide tours and information to prospective residents.
  • Process reservations and security deposits efficiently.
  • Input new resident information into all relevant systems.
  • Remove former resident data from all systems as necessary.

Resident Services Support

  • Assess and recommend solutions for residents' financial, social, and personal needs.
  • Address residents' inquiries and service requests promptly.
  • Respond appropriately in emergency situations.
  • Perform other duties as assigned.
