Key Responsibilities


• Act as the primary point of contact at the front desk, demonstrating exceptional customer service skills and maintaining composure in high-pressure situations.


• Support various administrative functions, including billing, collections, and the coordination of financial assistance applications.


• Utilize management software to facilitate billing processes and automated payment systems.


• Handle incoming phone calls, ensuring messages are accurately relayed to relevant team members.


• Assist in scheduling interviews and onboarding processes for new hires.


• Contribute to team-building activities and engage in community events.


• Manage online ordering systems for administrative tasks.


• Oversee the delivery and organization of resident and business mail.


• Ensure timely preparation and distribution of billing statements to residents and responsible parties.


• Maintain organized financial records, adhering to strict deadlines.


• Collaborate with the Executive Director to manage financial documentation and invoice processing.


• Address inquiries and resolve issues for residents and guests effectively.


• Exhibit strong problem-solving skills and foster positive relationships with all staff levels.


• Generate reports and analyze data to identify trends as assigned.


• Complete additional projects and tasks as required.

Qualifications


• High school diploma or equivalent.


• Proficient in Microsoft Word, Excel, and Outlook.


• Strong organizational and administrative skills.


• Excellent written and verbal communication abilities.

Preferred Qualifications


• Experience working with senior populations, demonstrating sensitivity to their needs.


• Familiarity with Electronic Health Records and data entry.


• Ability to lift and carry items weighing up to 30 lbs.


• Valid driver's license.

Marketing and Customer Service Responsibilities

  • Develop and maintain positive relationships with local community organizations and agencies.
  • Provide tours and information to prospective residents.
  • Process reservations and security deposits efficiently.
  • Ensure accurate entry of new residents into all systems.
  • Remove former residents from all relevant systems.

Resident Services Support

  • Assess and recommend solutions for residents' financial, social, and personal needs.
  • Respond promptly to residents' inquiries, comments, and service requests.
  • Take appropriate actions during emergencies.
  • Perform other duties as assigned.
