Position Overview:

We are seeking an Administrative Partner to support our People and Culture Team. This role is pivotal in ensuring the seamless operation of our team by providing comprehensive administrative and logistical support to our leadership.

Key Responsibilities:
  • Calendar Coordination: Manage the daily schedules of executives, ensuring efficient logistics for meetings and anticipating potential conflicts.
  • Travel Management: Organize both domestic and international travel arrangements, process expense reports, and assist in budget management for travel-related activities.
  • Business Rhythm Management: Collaborate closely with executives to maintain the operational flow of the business, including agenda management, note-taking, and follow-up on action items.
  • Event Coordination: Schedule and manage logistics for conferences and special events, both onsite and offsite, while leading team events and socials.
  • Liaison Role: Act as a trusted partner for VPs, facilitating communication with senior leaders, stakeholders, and cross-functional teams.
  • Proactive Problem Solving: Anticipate the needs of executives and assemble necessary resources to address challenges independently.
  • Confidentiality Management: Handle incoming requests with discretion, maintaining confidentiality on sensitive business matters.
  • Cross-Functional Collaboration: Ensure clear and efficient communication across teams to meet deadlines and prioritize tasks effectively.
  • Team Support: Provide backup assistance to other administrative partners within the department, fostering a collaborative team environment.

Qualifications:
  • Minimum of 5 years of experience as an Executive Assistant supporting multiple executives.
  • Strong understanding of confidentiality and discretion in handling business matters.
  • Proven ability to manage projects in a dynamic, fast-paced environment.
  • Excellent interpersonal skills, with the ability to engage professionally with executives and stakeholders.
  • Flexibility to adapt to changing priorities and needs.
  • Experience with scheduling and collaboration tools.
  • Strong organizational and time management skills, with keen attention to detail.
  • Ability to learn new technologies quickly and leverage them to enhance work efficiency.
  • Exceptional verbal and written communication skills.
  • Positive attitude and energy in a demanding work environment.
