Position Overview: Event Management and Ticketing Specialist

The Event Management and Ticketing Specialist will oversee various responsibilities related to event setup and maintenance, including the creation and management of event schedules, ticketing page configurations, and handling cancellations or rescheduling. This role involves utilizing in-house tools for report generation, engaging with external platforms such as our ticketing provider (Vivenu), and developing new pages on our websites using a CMS or WYSIWYG editor. Additionally, responsibilities include managing email campaigns through Mailchimp.

As you advance in this role, you will take ownership of specific tasks while supporting others. This position requires an individual who is highly organized and detail-oriented, with a strong ability to adhere to established procedures.

Key responsibilities include setting up ticketing for live events, which entails adding new venues, dates, and ticket types, as well as generating essential sales reports for various teams. You will monitor live events for any changes, such as cancellations or rescheduling, and communicate these updates to our customers promptly. This role is crucial as it directly influences what millions of customers see regarding event dates and ticket availability across multiple venues.

Moreover, you will collaborate with our venues regarding their representation, necessitating excellent communication and diplomacy skills. Basic web design and layout capabilities using drag-and-drop editors are also essential for success in this multifaceted role.

Main Responsibilities:
  • Create and manage events on the ticketing platform (Vivenu)
  • Collaborate with the Ticketing Coordinator to assess ticket and date inventory needs for each venue
  • Develop and maintain public-facing web pages for each venue using WYSIWYG web editing software
  • Add, remove, and manage dates and tickets available for sale
  • Engage with venues regarding their representation and any co-marketing shows.
  • Ensure automated surveys are distributed post-events; monitor survey results and summarize findings for the broader team.
  • Create bulk emails for customers in the event of cancellations.
  • Support the Systems and Ticketing team, collaborating with various departments. This role will involve a blend of development and process-driven tasks.
  • Resolve issues promptly for our teams.
  • Produce user-friendly graphical documentation for the team and provide training as necessary.
  • Perform additional duties as assigned
  • Verify our presence on venue websites
  • Collaborate with the Ticketing/Media Buying team to establish/update pricing models on website links, documenting active pricing models for other teams
  • Implement split tests across our web pages to inform design and messaging strategies
  • Create and manage customer journeys within Mailchimp as required.
  • Develop and test new Mailchimp journeys as necessary
  • Maintain post-show surveys
  • Implement website translations (provided by the team)
  • Create dashboards specific to each venue
  • Follow through on task lists for new venue launches
  • Conduct follow-up checks for venue launches
  • Facilitate monthly and automated backups
Required Skills and Abilities:
  • Exceptional attention to detail and organizational skills
  • Strong foundational IT and cloud application skills (experience with website software and email platforms like Mailchimp preferred)
  • Basic design/layout skills using drag-and-drop tools
  • Familiarity with basic marketing principles preferred
  • Excellent interpersonal and communication skills
  • Ability to perform under pressure.
  • Willingness to occasionally work late evenings and weekends, as we coordinate with teams in the UK and host events on weekends (we strive to balance peak activity with time off at other times).
