Position Overview

This role is a full-time, 12-month position that is exempt from overtime compensation under the Fair Labor Standards Act.

Key Responsibilities

Family Engagement and Communication

  • Address parent inquiries and concerns.
  • Share opportunities and important information with families.
  • Act as a liaison for PSA leaders in organizing events and identifying volunteer roles for families.
  • Promote school events in both English and Spanish.
  • Assist with the translation of brief documents for families.
  • Manage family communication lists and automated calling systems; provide training to staff as necessary.
  • Support the planning and execution of school-wide and campus events.
  • Oversee Lower School Classroom newsletters.
  • Draft and manage the weekly family newsletter.
  • Maintain the community closet for families, with assistance from the development team.

Re-Enrollment Support

  • Prepare and distribute re-enrollment information; assist families throughout the re-enrollment process.
  • Coordinate special enrollment events and extended hours sessions.

Admissions and Enrollment for New Families

  • Organize recruitment fairs and other outreach events.
  • Develop a strategic plan for student recruitment, particularly for transition grades.
  • Coordinate participation in community events with staff and parent volunteers.
  • Manage Open Houses for prospective families.
  • Provide essential information to new and prospective families, including tours for matched and waitlisted families.
  • Serve as the primary contact for MySchoolDC, ensuring compliance with submission deadlines.
  • Maintain thorough knowledge of Capital City and MySchoolDC recruitment policies.
  • Facilitate student shadow days as required.
  • Manage student waitlists and communicate with administrators regarding admissions offers.
  • Ensure all necessary documentation is collected from new families.
  • Support the Compliance team in preparation for enrollment audits.
  • Inform families about summer orientation sessions.

Front Office Support and Additional Duties

  • Provide backup support to front desk personnel as needed.
  • Assist with all-school mailings.
  • Verify familial relationships in the student information system.
  • Perform other duties as assigned by the Director of Family Engagement and Admissions.

Qualifications

  • Fluency in both Spanish and English is required.
  • A Bachelor's Degree is preferred; at least 60 credit hours towards a Bachelor's degree is desired.
  • Familiarity with resources and services available to families in the Washington, DC area.
  • A minimum of 2 years of experience working with diverse families in urban environments.
  • Willingness to work some evenings and weekends to support family events.
  • Proficiency in Excel, Google Suite, and database management.
  • Strong attention to detail for accurate data collection and organization.
