Job Overview

Sparks Group is seeking a highly skilled Multilingual Administrative Professional to join their team. This individual will be responsible for managing the office, handling administrative duties for upper management, and supporting an international health agency.

About the Role

This is a hybrid opportunity that requires a resourceful and organized individual who can multitask while maintaining complex schedules and providing administrative support.

Responsibilities
  • Create and review reports, technical documents, emails, and charts for accuracy and style.
  • Coordinate complex meetings, conferences, seminars, and workshops by preparing technical presentations, reports, and calendar invites.
  • Maintain the calendar of appointments and deadlines for the leadership team.
  • Ability to work independently on projects requiring complex and multiple tasks.
  • Assist in training staff members and new hires.
  • Assume responsibility for the maintenance of office equipment, including computers, copy machines, and fax machines.
  • Maintain office supplies by checking inventory and ordering items.
  • Answer incoming calls and assume other receptionist duties when needed.
Requirements
  • Proficiency in MS Office with expertise in Microsoft Word, PowerPoint, Outlook, and Excel.
  • 3-5 years of administrative experience.
  • Bilingually Fluent in English and Spanish in writing, speaking, and reading professionally.
  • Detail-oriented and comfortable working in a fast-paced office environment.
  • Superior organization skills and dedication to completing projects in a timely manner.
