RESPONSIBILITIES AND DUTIES

Manage various aspects of pre-award applications and documentation submissions, which may involve collaboration with management, grants management, research personnel, faculty, and other stakeholders to evaluate proposal feasibility, refine project budgets, and develop proposal documents.

Conduct thorough reviews of grant application materials for accuracy, compliance with reporting requirements, allowable costs, and adherence to institutional guidelines prior to internal assessments.

Ensure that all necessary protocols, including those for animal and human subjects, are met, and request documentation or revisions as needed.

Maintain accurate records of grant data and documentation within the electronic grants management system for internal review and update tracking worksheets.

Develop and sustain a comprehensive understanding of funding agency requirements and regulations, as well as electronic proposal submission processes.

Stay informed about changes in federal, foundation, and sponsor regulations that may affect the pre-award grant submission process.

Review and validate award documents for accuracy and completeness.

Process source expenditure documents, including purchase orders, payment requests, invoices, and budget forms, while monitoring expenditures for compliance with agency and departmental guidelines.

Ensure that all documentation contains valid account numbers and proper authorizations, and maintain audit support documentation.

Create financial spreadsheets to track payroll distribution, salary rates, and account rollovers.

Reconcile monthly ledgers, salaries, and benefit expenditures, verify indirect cost charges, and adjust for equipment purchases.

Prepare financial reports for each budget cycle, including comparisons of budgeted versus actual expenditures.

Research spending transactions and make necessary journal and budget adjustments to ensure account balance.

Prepare periodic and final reports as mandated by agency guidelines and communicate revisions to agency guidelines to relevant staff.

Analyze current and historical funding trends, forecast expenses and revenues, and identify budget deficiencies.

Provide guidance to scientists regarding funding matters and prepare specialized reports as requested.

Perform additional duties as assigned, with specific essential functions discussed during the interview process.

DECISION MAKING

Exercise sound judgment within established practices and policies when selecting methods and techniques for achieving results and resolving discrepancies.

Work independently, employing critical thinking and analytical skills, with minimal instruction on routine tasks.

COMMUNICATION

Act as the primary contact for all levels of program management and departmental staff, providing guidance and responding to inquiries.

Engage with administrative personnel, faculty, research staff, subcontractors, collaborators, and funding agencies to address questions and provide direction on grant proposals and awards.

SCOPE AND COMPLEXITY

Address complex issues where data analysis requires thorough evaluation of known and unknown factors, applying professional concepts to solve problems creatively and effectively.

SUPERVISION OF OTHERS

This role does not involve direct supervision but may provide guidance to junior personnel.

REQUIREMENTS

A Bachelor’s degree or equivalent combination of education, training, and experience is required.

A minimum of three years of experience in grant and contract administration, managing a portfolio of grants, is essential.

Strong analytical, verbal, and written communication skills are critical, along with a professional demeanor and intermediate spreadsheet proficiency.

Familiarity with financial information systems, grant applications, and a solid understanding of accounting principles and NIH guidelines is necessary.

Demonstrated ability to manage multiple projects independently while providing high-quality customer service is essential.

PHYSICAL REQUIREMENTS

May include prolonged periods of stationary work, traversing facilities as needed, and operating office machinery.
