Position Overview:

The Senior Medical Office Coordinator serves as the primary point of contact for patients, staff, and visitors at the clinic, executing all administrative responsibilities related to patient check-in processes.

Key Responsibilities:

Essential Duties:

  • Manage the opening of the front office and oversee all related tasks.
  • Collaborate with the Administrative Supervisor to train new front office personnel, ensuring they meet competency standards.
  • Provide a warm welcome to patients, assisting them in a professional and courteous manner.
  • Efficiently schedule patient appointments using the clinic's computer systems as directed.
  • Handle incoming calls, offering necessary information or directing calls appropriately.
  • Accurately register patients by entering demographic and insurance details into the electronic medical record system.
  • Ensure completeness of patient registration documentation and verify patient data.
  • Utilize online resources to confirm patient insurance coverage.
  • Discuss payment options with patients, including various assistance programs.
  • Collect co-payments or deposits as per company policy prior to patient consultations.
  • Conduct end-of-day processes, including financial postings and drawer balancing.
  • Utilize various software systems, including i2i, Tableau, and Patient Portal, to enhance operational efficiency.
  • Generate and follow up on Vital Interaction reports for appointment confirmations and no-shows.
  • Coordinate with nursing and medical teams to ensure efficient patient flow.
  • Communicate patient concerns to the leadership team accurately.
  • Be available to work outside of regular hours, including weekends, as necessary.
  • Participate in resolving complex patient issues and potential billing discrepancies.
  • Act as a resource for insurance eligibility and coverage inquiries.
  • Support the Administrative Supervisor as needed.
  • Assist the Health Information Management department with scanning medical documents into the EMR system.
  • Attend relevant meetings and training sessions, adhering to company policies.
  • Maintain confidentiality of all patient and company information, complying with HIPAA regulations.
  • Perform all duties ethically and in line with company values.
  • Complete additional job-related tasks as assigned.

Knowledge, Skills, and Abilities:

  • Understanding of healthcare office practices and procedures.
  • Familiarity with insurance verification processes.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Knowledge of HIPAA and Joint Commission standards.
  • Exceptional customer service skills.
  • Strong verbal and written communication abilities.
  • Capability to work independently and collaboratively in a fast-paced environment.
  • Effective problem-solving skills.

Qualifications:

Minimum Education: High School Diploma or Equivalent.

Minimum Experience: A minimum of two years in registration or front office roles within a healthcare setting.
