Position Overview:

The Senior Medical Office Coordinator serves as the primary point of contact for patients, staff, and visitors at the clinic, executing all administrative responsibilities related to patient check-in.

Key Responsibilities:

Duties Include:

  • Opening the front office and managing all associated tasks.
  • Collaborating with the Administrative Supervisor to oversee the training of new front office personnel, ensuring they meet competency standards.
  • Welcoming and assisting patients in a professional and courteous manner.
  • Accurately scheduling patient appointments using the clinic's computer systems.
  • Handling incoming calls, providing necessary information, or directing calls appropriately.
  • Registering patients by entering demographic and insurance details into the electronic medical records system.
  • Verifying the completeness of patient registration documentation and insurance coverage.
  • Explaining various payment options, including sliding scale fees and assistance programs.
  • Collecting co-payments or deposits prior to patient consultations, adhering to company policies.
  • Managing end-of-day processes, including posting collected payments and balancing the cash drawer.
  • Utilizing various software systems, such as i2i, Tableau, and Patient Portal, to enhance operational efficiency.
  • Running reports and following up on appointment confirmations and no-shows as directed.
  • Coordinating with nursing and medical teams to ensure smooth patient flow and minimize wait times.
  • Documenting and communicating patient concerns to the leadership team effectively.
  • Participating in the investigation of complex patient issues, including scheduling and billing inquiries.
  • Acting as a subject matter expert on insurance eligibility and coverage.
  • Providing backup support for the administrative supervisor when needed.
  • Collaborating with the Health Information Management department to ensure proper documentation is scanned into the EMR system.
  • Attending relevant meetings and training sessions while adhering to company policies.
  • Maintaining confidentiality of all patient and company information in compliance with HIPAA regulations.
  • Performing all duties ethically and in alignment with the company's values.
  • Completing other job-related tasks as assigned.

Required Knowledge, Skills, and Abilities:

Knowledge of:
Healthcare office operations, insurance verification processes, Microsoft Office Suite, and HIPAA guidelines.

Skills in:
Delivering exceptional customer service, effective communication, and problem-solving in a fast-paced environment.

Ability to:
Work independently and collaboratively, manage multiple tasks with attention to detail, adapt to changes, and maintain confidentiality.

Qualifications:

Minimum Education: High School Diploma or Equivalent.

Minimum Experience: A minimum of two years in registration or front office roles within a healthcare setting.
