Job Summary

The University of New Mexico is seeking a highly skilled and experienced Administrative Officer to join our team. This role will provide administrative support to the Vice President and Diversity, Equity & Inclusion Executive Officer, ensuring the smooth operation of the office and contributing to the advancement of diversity, equity, and inclusion initiatives.

Key Responsibilities
  • Provide administrative support to the Vice President, including calendar management, travel arrangements, and correspondence.
  • Research and prioritize incoming issues, proposing appropriate courses of action, referrals, and responses.
  • Screen, evaluate, and determine potential responses to written correspondence received by the Vice President.
  • Coordinate the day-to-day activities of the Vice President, including scheduling, travel, and prioritizing assignments.
  • Review and approve financial transactions, as assigned, and advise the office principal on appropriate disposition.
  • Organize and facilitate meetings, conferences, and other special events.
  • Prepare, draft, edit, and format documents, including agenda items, meeting minutes, letters, and presentations.
  • Coordinate and attend committee meetings, and participate in committee discussions, as appropriate.
  • Provide assistance in understanding and interpreting University policies and procedures, ensuring office operations are in compliance with policy provisions and standards.
  • Handle confidential issues.
  • Schedule travel and maintain harmonious, courteous, and understanding relationships, while fostering a collaborative teamwork environment.
Requirements
  • High school diploma or GED; at least 7 years of experience related to the duties and responsibilities specified, of which at least 2 should be directly related to managing at least one of the functional areas of fiscal services, administration, and/or human resources.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year-for-year basis.
Preferred Qualifications
  • Prior experience providing high-level support to leadership.
  • Exceptional interpersonal and communication skills, written and verbal.
  • Ability to effectively interact with members of executive and senior leadership, faculty, staff, community leaders, governmental bodies, and funding agencies.
  • Exceptional organizational and prioritization skills.
  • Project management experience.
  • Ability to synthesize substantial amounts of information and produce concise and comprehensive reports and presentations.
  • Demonstrated commitment to diversity, equity, inclusion.
  • Understanding of the climate and culture of New Mexico and the UNM HSC.
  • Works with multiple technologies such as Zoom, Microsoft 365 (Outlook, PowerPoint, Excel), and Smartsheets.
  • Experience working with teams.
  • Fluency in languages commonly used in New Mexico, other than English.
