Job Overview

Position Summary

The Administrative Coordinator will assist executives, managers, and other team members in their daily operations and administrative tasks. This role encompasses a wide array of office support functions, with a considerable focus on drafting and preparing documents, organizing schedules, managing communications, and providing assistance with financial operations. Specific responsibilities may vary based on the unique requirements of the executive team.

Key Responsibilities

  • Uphold the Core Values of Security State Bank & Trust
  • Draft and maintain minutes for Executive Board meetings, Director and Loan Committee sessions, as well as regular and special board meetings
  • Offer support to bank executives by managing appointment schedules and preparing necessary correspondence
  • Oversee Director access, including report management, user administration, technical assistance, and password resets
  • Ensure iPads are charged and that boardroom technology is fully operational
  • Organize agendas for Executive and Board Meetings
  • Distribute report packets for Executive Board and Regular Board meetings
  • Send Zoom invitations as required, along with calendar invites for Board, Branch Presidents, and Trust meetings
  • Prepare annual Oath of Office documents for Director signatures and update contact information as necessary
  • Maintain current Reg O forms, financial statements, and resumes for all Directors
  • Provide training and support for Medallion Stamp usage among employees
  • Maintain organized files for branches, including scanning and filing information into all systems
  • Ensure the secure storage and electronic preservation of bank records and stockholder documents
  • Order office supplies as needed
  • Perform additional duties as assigned

Qualifications:

  • Preferred experience in IT
  • College Degree is preferred
  • High School Diploma or GED is required
  • Proficient in Microsoft Office Suite
  • Exceptional oral, written, and verbal communication skills
  • Highly organized and able to meet deadlines
  • Notary Public certification is preferred
