Job Title: Receptionist - Office Assistant

Ultimate Staffing is seeking a highly organized and detail-oriented Receptionist to support a leading skin care company in San Jose, CA.

Job Summary:

We are looking for a skilled Receptionist to provide exceptional customer service, manage front desk operations, and support various departments across the organization.

Key Responsibilities:

  • Answer and transfer incoming calls, greet and sign-in visitors, and manage the reception area.
  • Process outgoing mail, manage postage machine funds, and maintain inventory spreadsheets.
  • Order business cards, name badges, and rep bags, and maintain the front desk tidiness.
  • Assist other departments with projects, set up new employee work areas, and maintain coffee and vending machines.
  • Monitor and maintain break rooms, executive kitchens, and restrooms, and ensure First Aid Kits are kept in-stock.
  • Work with accounting to ensure all credit card purchases receipts are accounted for, and operate/ manage copier.

Requirements:

  • 2+ years of experience in a receptionist role.
  • Excellent written and verbal skills, detail-oriented, and organized.
  • Intermediate computer skills with Microsoft, Excel, and filing experience.
  • Ability to learn to operate the receptionist desk and follow procedures.
  • Superior communication skills, ability to multi-task, and time management.
  • Switchboard experience required, punctuality, and good attendance.
