Job Title: Administrative Specialist

About the Role:
This is a 12-month administrative position that supports the Federal Programs department. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a commitment to providing exceptional customer service.

Key Responsibilities:
• Process purchase order requests and reconcile monthly expenditure reposts
• Complete journal entries in coordination with other departments
• Ensure adherence to federal, state, and district procurement policies and procedures
• Utilize MS Excel to code, file, and disseminate time sheets
• Assist in the collection, organization, and compilation of data required for Federal and state reporting
• Schedule meetings, conferences, interviews, in-services, and workshops, and maintain a schedule of appointments
• Draft and prepare correspondence following directions of supervisor(s)
• Place, screen, and forward telephone calls; take messages
• Coordinate, schedule, and prioritize assigned tasks
• Provide feedback and direction and guidance to staff. Communicate new or revised information to personnel
• Communicate effectively with other team members and district personnel
• Provide positive customer service
• Maintain confidential records, and databases for the department
• Create and revise systems and procedures to ensure efficiencies in the department

Requirements:
• High School Diploma or GED
• Two (2) years of relevant experience in human resources and customer service, data entry, general office assistant, special education administrative, or closely related field
• Strong knowledge of Microsoft Office, particularly Excel
• Excellent communication and interpersonal skills
• Ability to maintain confidentiality and handle sensitive information
• Valid Arizona driver's license

Estimated Salary Range: $45,000 - $60,000 per year
