CPS Program Administrative Assistant II

This role is essential in providing administrative assistance and technical program support to the Program Administrator and other leadership personnel. Responsibilities include managing information dissemination, maintaining organized filing systems, and executing internal administrative tasks. The position may involve training others and operates under moderate supervision, allowing for some initiative and independent decision-making.

This role frequently interacts with DFPS personnel, including program administrators, directors, supervisors, the regional director, representatives from various organizations, and the general public.


Key Responsibilities:

Manage filing and secure confidential records, perform basic administrative operations related to CPS functions, including completing emac tasks, procuring business materials, tracking time and leave, and coordinating efforts among technical staff to enhance program efficiency.

Answer phone inquiries, respond to questions, take messages, and prepare, edit, type, and distribute various print and electronic communications, reports, forms, and records.

Generate documents from written and dictated sources. Assist in gathering, entering, and analyzing data for reports. Review, prioritize, and manage incoming and outgoing agency correspondence, both print and electronic. Schedule staff travel and handle necessary travel documentation. Develop and maintain systems for inquiries. Establish and manage filing and record-keeping systems, including electronic files and distribution lists. Organize meetings, prepare agenda items, and circulate meeting notes. Address inquiries by phone, providing general information or directing callers as appropriate. Support and report to the Child Protective Services Program Administrator. Coordinate and schedule meetings, conferences, training sessions, and seminars. Manage registration, prepare and distribute agenda items and materials, and document and share meeting notes. Perform additional duties as assigned to support CPS program operations. Promote, monitor, and ensure respect for cultural diversity. Maintain regular attendance in accordance with agency leave policies.

Required Knowledge, Skills, and Abilities:
Familiarity with office practices and administrative procedures.

  • Ability to establish and maintain effective working relationships.
  • Proficiency in effective verbal and written communication.
  • Experience in supporting multiple staff members in an office setting.
  • Competence in using personal computers and various Microsoft software applications.
  • Capability to interact with all levels of personnel.
  • Ability to work independently in a fast-paced environment.
  • Skill in managing multiple assignments in a dynamic setting.
