Overview

As a key member of the executive team, the Vice President of Operations will report directly to the President & Chief Executive Officer (CEO). This role is pivotal in enhancing and managing the internal organizational frameworks, operational practices, and infrastructure necessary for the organization to fulfill its mission effectively. The VP of Operations will lead a dedicated team and will be responsible for overseeing financial management, human resources, operational activities, legal compliance, information technology, risk management, and administrative functions. This position will collaborate closely with program leaders to facilitate the execution of strategic initiatives and support organizational development.

Duties and Responsibilities

The Vice President of Operations will manage the following areas with a direct team:

Financial Management and Oversight

In partnership with the Finance VP, oversee all financial and business planning functions, managing an annual budget exceeding $20 million, including:
  • Directing all financial operations
  • Establishing business policies and accounting practices
  • Analyzing financial reports
  • Advising the CEO on financial strategies and long-term planning
  • Leading the organizational budgeting process
  • Monitoring financial metrics for efficiency
  • Facilitating annual audits
  • Ensuring financial data is communicated to senior management
Human Resources

Collaborating with the Human Resources Director, oversee the HR functions, including:
  • Recruitment and hiring processes
  • Benefits administration
  • Employee training and development
  • Retention strategies
  • Regulatory compliance
  • Ensuring HR representation within the senior management
  • Personnel policies and training
Research and Strategic Initiatives

In conjunction with the Director of Research, oversee analytical projects to ensure data-driven decision-making across the organization.

Information Technology

Work with technology partners to maintain and update information systems, including hardware, software, and other applications.

Office Management

Oversee administrative functions ensuring efficient daily operations and a welcoming office environment, including:
  • Managing office lease negotiations and improvements
Committee Management
  • Staff finance committees and conduct meetings
  • Coordinate with financial leaders to develop agendas and budgets
General Operations
  • Collaborate with management to enhance systems and processes for growth
  • Oversee risk management and insurance policies
  • Manage legal documents and agreements
  • Ensure compliance with tax and regulatory requirements
  • Provide comprehensive reports on operational conditions
Qualifications
  • Proven expertise in administrative functions including finance, HR, and IT
  • Strong operational leadership experience, ideally with over 10 years in senior management
  • Skilled in organizational development and strategic planning
  • Exceptional interpersonal skills for collaboration with diverse stakeholders
  • Integrity and commitment to the organization's mission
  • Ability to manage multiple priorities in a dynamic environment
