Overview:
The Service Operations Coordinator is essential in facilitating the effective functioning of the service division.

This role encompasses providing administrative assistance to the service team, organizing service operations, and ensuring exceptional customer satisfaction through proficient communication and organization.


Key Responsibilities:

1. Prepare and dispatch quotation documents to customers in the designated area following approval from the Manager or Supervisor. The quotations will be tailored to meet the specific requirements of each customer.

2. Compile customer summaries for the assigned area and forward them to the Key Account department, which will then relay the summarized data to customers regarding open purchase order documents.


3. Manage the procurement of spare parts and collaborate with the service technician team when customers issue purchase orders or approve urgent requests.

Upon receipt of purchase order documents from customers, the Service Administrator will attach the quotation and work report before sending them to the senior administrator for invoice processing.

4. Oversee vehicle stock in the SAP system and provide completed reports to the service administrator for spare part requisition for the service technician team in the assigned area.


5. Review and monitor reports such as allowances and work reports from technicians or supervisors in the designated area, submitting them to the Area Service Manager for approval before forwarding all reports to the HR Department.


6. Provide comprehensive support to the Zone Supervisor and Zone Service Team in preparing quotations and requisitioning equipment for the service technician team in the assigned area.

Maintain and manage quotations and work reports.

7. Execute additional tasks as assigned by the supervisor or Manager.

Qualifications:

Education and Experience Requirements:

Education:
A High Vocational Certificate or higher in Accounting, Business Administration, or a related discipline.

Experience:
A minimum of 1 year in an administrative capacity.

Age:
25 years and older.

Skills:
Proficient in Microsoft Office and the SAP system.

Strong command of the English language.
