Position: Administrative Support Specialist

Status: Permanent part-time

Schedule: Monday-Friday, approximately 25-30 hours per week

As an essential member of our organization, the Administrative Support Specialist plays a crucial role in delivering exceptional administrative assistance to patients, colleagues, and stakeholders, in alignment with our commitment to patient-centered care. This position is vital for nurturing strong connections between the clinic and its clientele, including patients, staff, funding bodies, and referral sources. The role involves efficiently providing administrative support and coordinating clinic activities with a friendly, enthusiastic, and professional demeanor.

Key Responsibilities:

  • Deliver optimal patient care through warm and professional interactions with patients and team members.
  • Manage incoming calls, warmly greet patients and visitors, and address all inquiries with outstanding customer service.
  • Facilitate a thorough and accurate intake process for new patients during their initial visit.
  • Assist in registering new patients according to clinic standards, ensuring accuracy in medical forms to prevent errors.
  • Utilize electronic medical records to coordinate and schedule future appointments for patients with various providers.
  • Enhance patient care by recommending additional services or products that align with the patients' best interests.
  • Collect payments at the time of service and follow up on any outstanding balances.
  • Ensure precise clinic billing and manage accounts receivable as necessary.
  • Generate accurate end-of-day reports.
  • Collaborate with clients to establish and achieve functional goals.
  • Gather outcome measure data.
  • Maintain and sterilize medical equipment.
  • Oversee inventory management of clinical supplies.
  • Perform other administrative tasks as directed by the clinic director.

Qualifications:

  • Exceptional communication and interpersonal skills to foster effective relationships with patients and staff.
  • Strong judgment, resourcefulness, and organizational capabilities.
  • Ability to investigate and resolve issues related to billing, collections, and various funding sources.
  • Maintain composure in high-pressure situations.
  • Adaptability to changes in clinic operations, with a commitment to continuous learning and improvement in patient care.
  • Self-motivated, capable of working independently as well as collaboratively within a team.
  • Experience in managing bookings and billing for various patient categories is an asset.
