Senior Orthopaedic Practice Coordinator

ORTHOPAEDIC RESPONSIBILITIES:

  • Oversee and manage EPIC WORK QUEUES effectively.
  • Coordinate scheduling for electromyography (EMG) procedures.
  • Process cancellations for x-ray orders after 48-72 hours.
  • Handle ortho mail collection and distribution bi-daily.
  • Facilitate the uploading of CDs into PowerFoil.
  • Act as a Super User and primary resource for POWERSHARE, providing assistance to Medical Practice Assistants (MPAs) as necessary in obtaining external images when patients fail to bring CDs or when CDs are unreadable.
  • Ensure surgical consent forms are uploaded and scanned within 24 hours for all clinics.
  • Manage the eFax process by:
    • Organizing faxes into the appropriate Provider folders.
    • Printing and scanning/emailing documents for non-orthopaedic providers.
  • Handle EPIC in-basket messages for orthopaedics and forward them using the designated crosswalk coverage list.
  • Assign decision aids for scheduled total joint visits.
  • Oversee the ORTHOPAEDIC BUMP LIST process by:
    • Monitoring the bumped BWFH Ortho clinics and reaching out to patients to reschedule.

BONE HEALTH PROGRAM (BHP) DUTIES:

  • Schedule and reschedule appointments for BHP patients with the following Providers:
    • Bone Health Nurse Practitioner
    • Rheumatologist
  • Respond to voicemail messages from BHP patients.
  • Make follow-up calls to patients for rescheduling as needed.
  • Review Provider schedules for unfilled slots and proactively reach out to patients for earlier appointments.
  • Address BHP in-basket messages from Providers and complete necessary tasks.
  • Monitor emails and respond to tasks accordingly.
  • Input orders and arrange bone density testing for BHP patients.
  • Supervise the BHP Work queue [WQ26231] and contact patients for appointment scheduling or deferment.

FRONT DESK OPERATIONS:

  • Support front desk activities, including check-in and check-out, during staffing shortages or high patient volume.
  • Collect copayments and self-pay amounts due at check-in.
  • Assist with entering and scheduling radiology orders when staffing is limited.
  • Perform additional duties as required to meet departmental needs.

QUALIFICATIONS:

  • High School Diploma or GED is mandatory.
  • Strong organizational skills to manage both Orthopaedic and BHP responsibilities throughout the week.
  • Ability to prioritize tasks and manage time effectively.
  • Meticulous attention to detail in verifying that Provider clinic schedules are fully booked.
  • Outstanding professional customer service abilities.
