Senior Orthopaedic Practice Coordinator

Orthopaedic Responsibilities:
- Oversee and manage EPIC WORK QUEUES effectively.
- Coordinate scheduling for electromyography (EMG) procedures.
- Handle cancellation of x-ray requests after 48-72 hours.
- Facilitate the collection and distribution of orthopaedic mail bi-daily.
- Upload imaging CDs into the designated power foil system.
- Act as a Super User and primary resource for POWERSHARE, providing assistance to Medical Practice Assistants (MPAs) as necessary for acquiring external images when patients do not bring CDs or when CDs are unreadable.
- Ensure surgical consent forms are uploaded and scanned within 24 hours for all clinics.
- Manage the eFax workflow:
- Organize faxes into appropriate Provider folders.
- Print and scan/email documents for non-orthopaedic providers.
- Handle EPIC in-basket messages for orthopaedics and forward them using the crosswalk coverage list.
- Assign decision aids for scheduled total joint visits.
- Oversee the ORTHO BUMP LIST process:
- Monitor the BWFH Ortho clinics for any blocked days and proactively reach out to patients to reschedule.
Bone Health Program (BHP) Duties:
- Schedule and reschedule appointments for BHP patients with the following Providers:
- Bone Health Nurse Practitioner
- Rheumatologist
- Respond to voicemail messages from BHP patients and initiate follow-up calls.
- Conduct outreach to patients for rescheduling as necessary.
- Review Provider schedules for open slots and contact patients to offer earlier appointments.
- Address BHP in-basket messages from Providers promptly.
- Manage emails and complete assigned tasks efficiently.
- Input orders and arrange bone density testing for BHP patients.
- Monitor the BHP Work queue [WQ26231] and reach out to patients for appointment scheduling or deferment.
Front Desk Responsibilities:
- Support front desk operations with check-in and check-out tasks during staffing shortages or high patient volumes.
- Collect copayments and self-pay amounts due at check-in.
- Assist with entering and scheduling radiology orders when needed.
- Perform other duties as assigned based on departmental needs.
Qualifications:
- High School Diploma or GED is required.
- Strong organizational skills to manage both orthopaedic and BHP tasks throughout the week.
- Ability to prioritize and manage time effectively.
- Meticulous attention to detail, particularly in ensuring Provider clinic schedules are optimized.
- Exceptional customer service skills in a professional setting.
